General information:

Hitachi energy is seeking a Sales Operations Specialist in Colorado. This role provides a great opportunity for a highly organized team player who can effectively balance a wide range of responsibilities for two of the US Sales Team's Senior Leaders. This role will support senior leadership positions in the day-to-day administrative responsibilities. The successful candidate will have outstanding professional communication skills and bring a proactive approach to the position. The position will report to the Vice President of US Sales Operations.

Your Responsibilities:

  • Travel Arrangements: Responsible for booking/re-booking travel arrangements for two (2) Senior Leaders. Understanding and application of associated compliance policies for travel and expenses.
  • Regional Presentations: Assist in the creation of regional presentations by researching information, setting expectations, creating a consistent format and finalizing documentation. Thorough understanding of sales practices, systems and content is necessary to ensure accurate presentations. May assist in the presentation of information to the sales team.
  • Onboarding: Ensure preparations are made for new hires joining the sale steam under your Sales Leaders. Follow up with Sales Operations and Human Resources staff to ensure correct access, equipment and meetings are set up.
  • Point of Contact: Be the point of contact for regional sales team by understanding the key partners in our structure. Know the contact personnel for common issues; IT, HR, Sales Operations, BU partners, etc. Have ownership over several Front End Sales policies and how to apply them in day to day activities.
  • Manage Schedule: Manage the calendar for two (2) Senior Leaders by booking and accepting invites. Major conflicts will be discussed with the Senior Leaders.
  • Expense Reporting: Own expense reports for two (2) Senior Leaders. You will be responsible for collecting receipts, creating the expense report in Concur, uploading documentation and classifying expenses and then submitting the reports on behalf of the Senior Leaders. Following expense policies is a requirement.
  • Coordinate Internal & External Meetings: Work with the Sales Operations team to set arrangements for physical meetings with internal employees and external customers. This will include booking a meeting location, any food/drinks/snacks needed, sending invitations, and any entertainment activities following the meetings.
  • Monthly Reporting Support: Production of monthly summary reports that will include Record Orders Snapshot, Record Pipeline Snapshot, compiling Key Opportunities Update and compile Key Market Drivers Update.
  • Vacation Backup: Be the point of contact for Sales Leaders when they are on vacation. Direct urgent emails/messages to appropriate parties and advise leaders of key emails when they return to office.
  • Email Management: Highlight key emails for immediate attention of Sales Leaders.
  • Systems Knowledge: Be proficient in Salesforce and Power BI to answer general questions for Sales Leaders. Be able to convert the data into desired formats (Charts, Graphs, Data Analytics, Tables, etc.)
  • Additional responsibilities as assigned by Sales Leaders and Vice President of Sales Operations.

Your background:

  • Bachelors Degree and 1 year of experience required OR Associates Degree and 3 years of experience in administrative responsibilities.
  • Candidate must already have work authorization that would permit them to work for Hitachi Energy in the United States.
  • Experience in handling confidential information related to both employees and organization strategy.
  • The successful candidate must be a team player able to effectively work and communicate with employees from all functions and all levels within the organization.
  • Ability to manage multiple projects at the same time and support various members of the Sales Leadership team.
  • Strong acumen of Microsoft Office suite and other software programs. Excel proficiencies including formulas and pivot tables. Ability to compose correspondence professionally.
  • Highly motivated self-starter with a positive, can-do attitude.
  • Highly organized planner. Sense of urgency and ability to prioritize responsibilities.
