Culmen International is hiring an Executive Action Officer to provide support for the National Intrepid Center of Excellence (NICoE) at the Walter Reed National Military Medical Center (WRNMMC) and will be onsite in Bethesda, MD.

The National Intrepid Center of Excellence (NICoE) improves the lives of service members with traumatic brain injury (TBI) and other invisible wounds of war through excellence in TBI clinical care, research, and education.



What You'll Do in Your New Role

Executive Action Officer is a key role within an organization, responsible for ensuring the smooth execution of front office operations, strategic initiatives and acting as a liaison between executive leadership and operational teams.

Responsibilities:

    Lead front office operations in support of military leadership.
  • Draft routine memos and correspondence on behalf of the Director.
  • Provide research and analysis to prepare briefing materials for the Director.
  • Work collaboratively as a member of the Directors Office team.
  • Manage multiple tasks with competing deadlines.
  • Respond to routine and non-routine inquiries regarding NICOE operations, policies, and procedures.
  • Forward situations and issues presented by staff, faculty, and external constituents to appropriate staff members for resolution.
  • Provide administrative and technical assistance on a wide range of special projects as assigned by the Director.
  • Make high-level contacts of a sensitive nature regarding routine and non-routine issues, internally and externally, requiring a high degree of discretion, diplomacy, and efficiency.
  • Understand the program goals and priorities of the Director, to prioritize issues according to urgency.
  • Function as a gatekeeper to ensure prioritization of the Director's time.
  • Respond to a wide variety of inquiries from faculty and staff.
  • Use multiple computer applications to support key administrative functions.
  • Manage the Director's task list and follow-up activities to ensure timely completion of projects.
  • Organize and maintain a file system for correspondence and other records.
  • Develop and manage a database of contacts, initiatives, and assignments.
  • Function as a resource to other staff; provide coaching and training to ensure situations and issues are appropriately managed; direct staff and forward issues as needed for appropriate resolution.
  • Processes incoming and outgoing materials such as military correspondence, reports, memoranda, and other forms of written communication.
  • Oversee development of long-range plans, goals, and objectives.
  • Lead tasks, portions of tasks, projects and follow-up on actions from internal and external meetings. Identify, prioritize, and organize key technical and programmatic details in concise notes or briefing materials.
  • Identify the need for and recommend modifications or changes in business practices to bring the department into compliance.
  • Track the progress of various taskers, initiatives, and identify any issues or areas for improvement.
  • Develop and implement standardized front office procedures and protocols.
  • Conduct research and gather data to support decision-making processes.
  • Ensure compliance with organizational policies and external regulations.
  • Organize and lead meetings, workshops, and training sessions as needed.
  • Support crisis management and contingency planning efforts.
  • Develop and maintain program and project schedules and calendars.
  • Provide Travel Support to executive leadership to ensure compliance in all aspects of travel procedures.
  • Other duties as assigned.


Required Qualifications

  • 4 years of experience with direct support of Executive Leadership.
  • 4 years of experience with developing administrative reports and recommendations.
  • BA/BS degree.
  • Ability to provide high-quality customer service.
  • Excellent written communication skills with the ability to compose correspondence using correct spelling, grammar, and punctuation.
  • Advanced skills using software tools, including Microsoft 365, Adobe Pro and SharePoint, to support program administration efforts.
  • Knowledge of Joint Travel Regulations and the Defense Travel System.
  • Strong written and verbal communication skills including interpersonal skills.
  • Ability to execute assigned tasks with minimal leadership oversight - well organized, self-motivated, and disciplined.
  • Fluent in English.


Desired Qualifications

  • 3 years administrative experience.
  • 1 year of military protocol experience.
  • Military Health System experience.
  • Strong organizational, project management, and problem-solving skills with impeccable multi-tasking abilities.

The determination of compensation at Culmen International, LLC is based on various factors such as location, the individual's unique combination of education, knowledge, skills, competencies, clearance level, experience, internal equity, contract-specific affordability, and organizational requirements. The projected compensation range for this position is $54,400 - $68,000 annually. This estimate represents the typical salary range for this position and is just one component of Culmen's total compensation package for employees.
