Summary of Job Duties:The Executive Assistant III provides executive-level administrative, clerical, and office support for the Office of the Provost and the Vice Chancellor for Institutional Relations. This position will coordinate event planning, travel management, purchasing, scheduling, and other related administrative activities. The Executive Assistant III prepares special reports and drafting/disseminating communications on the Provost's behalf and coordinates departmental meetings and prepares meeting agendas/minutes. This position will support other members of the leadership team as needed. Qualifications:
  • Bachelor's degree in business administration, education, healthcare, or related field plus four (4) years of professional level administrative experience or

  • Associates degree in business administration, education, healthcare, or related field plus six (6) years of professional level administrative experience or

  • High School Diploma/GED plus eight (8) years of professional level administrative experience required.

Knowledge, Skills & Abilities:

  • Excellent communication skills, both orally and in writing.

  • Effective organization and time management skills.

  • Proven experience in administrative office management.

  • Intermediate proficiency with standard office computer programs (e.g., MS Office Suite).

  • Working knowledge of Workday Travel and Procurement policy and processes.

  • Ability to meet established deadlines, maintain confidentiality of information.

  • Ability to establish and maintain effective working relationships.

Additional Information:

Responsibilities

  • Maintains calendars, schedules appointments, coordinates meetings and special events, answers phones and responds to inquiries, processes mail, and coordinates travel arrangements.

  • Acts as central liaison and initial point of contact for executive meetings with internal and/or external stakeholders.

  • Acts as Provost delegate for various processes. Approval of leave requests by the Provost's direct reports, maintains leave by person on Provost's calendar and certifies monthly leave time has been recorded correctly. Reviews and approves Academic Faculty and Visitor workflows on behalf of the Provost's office.

  • Acts as a liaison to other programs, departments, or agencies providing guidance and necessary correspondence.

  • Assists in the planning of departmental events to ensure conference rooms are setup appropriately prior to event and all technical equipment is working correctly for the participants.

  • Performs general office management functions, including ordering supplies, requesting services and equipment maintenance and repairs, and completing purchasing requisitions.

  • Prepares and distributes presentations, publications, and reports.

  • Performs other duties as assigned.
