Position Highlights The College of Medicine-Tucson is seeking a Coordinator for the Medical Scientist Training MD/PhD Program. This MD/PhD Program provides excellent and impactful dual-degree training while giving students the opportunities to grow as both individuals and independent physician-scientists. The main goal of the program is to support the educational needs and career development of the students.

The Coordinator will provide administrative support by performing day-to-day activities and projects in an effort to accomplish the program's objectives and goals. The incumbent will follow established business practices and policies in order to effectively manage University, College and program resources. The position's administrative duties may include activities related to finance, human resources, information technology, facilities, academic/research programs and/or student services.

Duties & Responsibilities

Support the operations of the Academic program:

  • Support program leadership to administer budget, human resources and coordination with internal and external stakeholders, such as the COM-T Center for Education.
  • Coordinate with program faculty and program leadership to provide support on tasks that realize academic program goals and objectives using innovation and creativity.
  • Work with leadership to ensure effective implementation of core program components.
  • Work with Financial Affairs to process grants, fellowships and discretionary funding to support student research.
  • Actively pursue opportunities to engage with potential faculty mentors that can take on graduate student mentees (e.g. workshops, webinars, conferences etc.).
  • Stay informed of student schedules (testing, community engagement, etc.) and significant communications via various student listservs.
  • Work with the Curricular Affairs and the Student Affairs departments to maintain up-to-date student records.
  • Monitor student involvement in outreach/engagement for College of Medicine applicants.
  • Triage student inquiries by connecting the students with appropriate departments or individuals.
  • Facilitate the evaluation of the MD/PHD program through data analysis. Report on findings:
  • Support program evaluation and provide reports that facilitate the review/assessment of current curriculum to ensure that courses/program meet intended objectives and requirements.
  • Research and develop content which will help continually advance the program objectives; contribute findings and content for potential publication.
  • Analyze industry trends for long range budgeting.
  • Evaluate curriculum to ensure that it meets industry standards and AAMC requirements, and provide feedback.
  • Participate in program representation on national organizational workshops and webinars related to MD/PhD training.
  • Assist with special projects, as needed.

Update Website / Marketing:

  • With guidance from program leadership, develop program materials and information sheets/brochures for use in recruitment opportunities and general marketing.
  • Manage website, digital board, and newsletter. Coordinate with Information Technology Services, as needed.
    Assist with promotional product design, and work with leadership on vendor contracts.
  • Compile data and create content, as directed, for various presentations to leadership and other constituents.

Event Planning/Recruitment, Team Building, Colloquium:

  • Coordinate meetings, colloquiums, and other events.
  • Support the advertisement, coordination and logistics of program events and conferences (as hosting site). Monitor operations during event/conferences.
  • Facilitate program activities that occur around the College and surrounding community.
  • Attend appropriate committee meetings and relay pertinent information to program leaders.
Minimum Qualifications
  • Bachelor's degree or equivalent advanced learning attained through professional level experience required.
  • Minimum of 3 years of relevant work experience, or equivalent combination of education and work experience required.
Preferred Qualifications
  • Beginner to Intermediate experience in an academic medicine setting.
  • Beginner to Intermediate experience in MedLearn and D2L, or some familiarity and understanding of similar platforms.
  • Intermediate to Advanced experience in Outlook, Excel, Word, and PowerPoint.
  • Intermediate to Advanced skill in organizing and managing timelines and materials for department projects.
  • Experience liaising and communicating across all levels of hierarchy in a multi-department organization.
