Onboarding Specialist

General Summary of Position
Delivers a superior new-hire experience by providing a high level of customer service and maintaining quality throughout the pre-employment on-boarding process from the time the verbal offer is accepted, until the associate successfully logs into their day 1 orientation. Responsible for the timely completion of full cycle onboarding process for new associates beginning their career with MedStar Health as well as current associates transitioning to new roles with the system.

Primary Duties and Responsibilities

  • Responsible for the accurate and timely on-boarding of all new hires, rehires, transfers and secondaries once verbal offer is accepted until the associate successfully logs into their day 1 orientation.
  • Contributes to the achievement of established department goals and objectives and adheres to department policies, procedures, quality standards, and safety standards. Complies with governmental and accreditation regulations while ensuring compliance with standard onboarding practices and procedures.
  • Follows-up with appropriate departments/vendors/candidates at various of stages of process to ensure required documentation valid, compliant and received timely.
  • Prepares new hire onboarding documents, creates associate's electronic file and HRIS record while monitoring error reports to ensure associate ID is generated successfully 10 calendar days prior to upcoming start date.
  • Assists human resources with onboarding related support activities.
  • Answers questions regarding general employment practices, employee benefits, and other HR policies.
  • Assists with reporting needs both internally and externally.
  • Maintains Unified Onboarding Tracker in real-time as updates are received.
  • Monitors and reviews all documentation required during the pre-employment process including: Section I & Section II Form I-9 requirements, receipt of badge photo, parking info, job description requirements, background check screening components, pre-employment health screen, licensure and certification.
  • Partners with several departments to provide clearance status updates to HRIS, HR entity associates, hiring managers, TAPs, Occupational Health, and new hires on an ongoing basis.
  • Responds to questions and requests from internal and external customers.
  • Proactively identifies barriers within the new hire onboarding experience and engages new hires and/or additional team members as needed to resolve timely. If not able to be resolved full communication to Onboarding Management is expected.
  • Contributes to departmental process improvement efforts, new policy and/or workflow implementations and creation of team resources, job aids, shared documents, etc.
  • Partners with the Onboarding Manager to provide new team member training.
  • Participates in meetings and on committees and represents the department and hospital in community outreach efforts.
  • Participates in multi-disciplinary quality and service improvement teams.
  • Assists with development of timelines when actions of events throughout an onboarding process are needed to perform a root cause analysis.
  • Obtains and sends all documentation needed for criminal red flags to appropriate partners for review and approval/denial.
  • Manage timely collection of all documents needed to compliantly receive a full clearance should a contingent start be approved.
  • Monitors and services Onboarding Crew chat daily alongside all Onboarding team members.


  • Minimum Qualifications
    Education

    • Associate's degree required or
    • equivalent combination of relevant experience and education. required

    Experience

    • 1-2 years Recent experience in high volume scheduling, administrative required or
    • Similar human resources experience required


    Knowledge, Skills, and Abilities

    • Critical thinking, problem-solving, time management, organizational skills, accountability/ownership, and effective communication skills.
    • Ability to adhere to detail, accuracy and thoroughness.
    • Strong interpersonal and customer service skills for effective communication with new hires/transferring associates.
    • Ability to effectively multi-task and work under strict deadlines.
    • Knowledgeable of HR and payroll processes helpful.
    • Proficient in MS Office applications, including, Outlook, Word and Excel.

    This position has a hiring range of $23.19 - $40.61
