Vaco Phoenix is looking for an AP Supervisor for a top client in the East Valley. The AP Supervisor must have 3+ years of supervisory experience as well as leading and mentoring a team of at least 2 people. This role will handle 1099 reporting, processing electronic payments and other day-to-day AP duties. This is a fully in office role, paying up to $75k/yr, and looking to hire immediately!

Responsibilities:
  • Oversees daily operations of the Accounts Payable (AP) team, including payment selection and processing schedules.
  • Reviews payment selection reports to identify duplicates or discrepancies and collaborates with stakeholders to resolve escalated or sensitive payment issues.
  • Manages and mentors AP team members, ensuring proper training and onboarding to both new and established AP processes and procedures.
  • Coordinates outreach efforts regarding unresolved checks, overseeing the organization's escheatment process.
  • Administers credit card and fleet programs, acting as the primary administrator for the credit card program as well as the travel and expense reporting system.
  • Contributes to the management of the organization's operating cash balance, ensuring compliance with supplier payment terms, negotiating favorable terms, leveraging discount opportunities, preventing late fees, identifying cost-saving options, and preparing cash flow forecasts.
  • Performs monthly reconciliation of the AP subledger with the general ledger, supports the annual audit by providing necessary documentation and explanations, and assists with periodic external and regulatory reporting.
  • Manages the annual 1099 filing process, ensuring timely submission and coordination with third-party partners.
Job Requirements:
  • Solid understanding of Accounts Payable processes.
  • Fundamental understanding of GAAP accrual accounting principles and the proper posting of prepaids and expenses.
  • Affinity for responding timely, professionally, and empathetically to inquiries from staff, internal business partners, regulatory agencies, and leadership
