JOB DESCRIPTION AND POSITION REQUIREMENTS:

The Pennsylvania State University is seeking an Administrative Assistant - Senior Support for the Associate Dean of Undergraduate and Graduate Studies. An Administrative Assistant is expected to manage and coordinate daily operations and provide high levels of administrative and financial support. The successful candidate will be responsible for the following:

  • Manage an office calendar and task list

  • Coordinate committee meetings and associated material and timely communications

  • Oversee the activities of the office; establishing and assigning priorities; ensuring schedules are maintained and deadlines are met; developing processes and procedures for the office and affiliated units

  • Coordinate events, special projects, and programs such as seminars, workshops, and banquets; gather related receipts and prepare expense reconciliation documents

  • Manage student-centric processes such as academic integrity and commencement

  • Manage departmental budgets; preparing financial and operational reports; participating in the preparation of short and long-range budget plans; reviewing and approving financial transactions within established guidelines

  • Analyze information for special projects and reports; drafting handbooks, newsletters, and other materials

  • Provide support in ensuring adherence to College and University policies and procedures

  • Handle student and faculty matters with confidentiality

  • Fostering and maintaining an inclusive environment

This position requires an Associate's degree plus four years of related experience, or an equivalent combination of education and experience. The successful candidate will have excellent oral and written communication skills, organizational skills, and project management experience; have experience taking initiative and serving as a reliable member of a team; and be prepared to interact effectively with faculty, staff, and administrators within the College and University. Knowledge of University policies, procedures, and systems related to student and academic affairs and curriculum review (e.g., LionPath, CIM, SAP Concur) is highly preferred but not required.

The salary range for this position, including all possible grades is:

$42,100.00 - $61,000.00
