POSITION SUMMARY:

A member of the Foundation Relations (FR) and Corporate Partnerships (CP) team, with a dual reporting role to the Director of Corporate Partnerships and the Director of Foundation Relations, the Development Associate Corporate and Foundation Relations provides critical administrative and operations functions in support of FR and CP officers seeking gifts and grants for various programs, clinical initiatives, and education programs at Boston Medical Center (BMC). This position maintains the resources to support the activities of the Development Office, ensures consistency of operations, and creates and promotes data and operational efficiencies.Additionally, this role will contribute to the team's goals of generating and maximizing philanthropic revenue to BMC by ensuring continuity in process and oversight of team logistics.

The successful candidate will be able to perform in a fast-paced, deadline-driven environment. They will have administrative support experience, data management systems experience, a command of Word and Excel, and intellectual curiosity; be self-motivated; and embrace making decisions independently. This position requires an individual who is exceedingly detail-oriented and organized, who possesses determination for accuracy and can navigate complex systems.

ESSENTIAL RESPONSIBILITIES / DUTIES:


  • Support for the FR and CP teams including managing team meetings, meeting notes, and follow-up actions.
  • Coordination and staffing of important events such as donor tours and meetingsby providing concierge level service: securing meeting rooms, parking, meals, and coordinating with external support staff for donors' needs.
  • Maintain the integrity of the NXT database specifically for constituent records, pipeline reporting, opportunities, actions, and notes for the FR and CP teams and support database processes; review all opportunities submitted by officers to ensure accuracy.
  • Lead process of monitoring and reconciling the planned, pending, awarded, and declined gift and grant opportunities to ensure accuracy within the Raiser's Edge NXT database for FR and CP teams. Act as liaison with Development Operations to resolve issues.
  • Retrieve and document notices of grant agreements and grant contracts; upload to corresponding opportunity in NXT database.
  • Work with the FR and CP teams to complete prospect research on funders for priority areas at BMC.
  • Work with Development Communications to ensure appropriate notification of philanthropic gift and grant awards and support needs, as well as stewardship reporting and communications related to donor visits, etc.
  • Review, monitor, and assess upcoming deadlines weekly to ensure timely response to foundation and reporting target dates: send related reminders to FR and CP team members; track past due and upcoming gift/grant reports, distribute to FR team, and update NXT as appropriate.
  • Working with Prospect Development and Research Team, create pending future actions for foundations determined viable through prospecting.
  • Actively identify and pursue opportunities to improve FR and CP operations by troubleshooting and resolving issues.
  • Manage, coordinate, and maintain the integrity of filing systems; ensure proposal attachments and other frequently needed data are current, e.g. patient demographics, audited financials, board lists, letters of recommendation, etc.
  • Anticipate and provide timely response to FR, CP, Operations, and Development requests for information, service, and assistance.
  • Use Asana gift forms to enter upcoming gifts and grants into NXT record.
  • Schedule and track payments, future payments, create invoices, pledge reminders, draft acknowledgements, and other stewardship activity and outlined in gift/grant agreements and MOUs.
  • Responsible for submitting invoices to AP and aid in scheduling for the team.
  • Coordinate with Research & Prospect Management colleagues to help with timely portfolio upkeep & management ensure that each BMC donor receives appropriate, comprehensive management based on their giving level.
  • Provide support on a variety of matters including meeting scheduling, logistics follow-up, data management, mailings for members of the CP & FR teams.
  • Collaborate with members of the CDO team as related to CP & FR news and strategy, on high level communications for internal and external stakeholders, including but not limited to bi-weekly updates, Board communications, and coordination of quarterly Philanthropic Trust meetings.
  • Handle all above tasks with confidentiality, especially in regard to donor and patient information.
  • Performs other duties as assigned or as necessary.
  • Follows department policies and procedures and adhere to industry best practices.
  • Utilize hospital values as the basis for decision-making.
  • Directs and manages own timelines for all responsibilities listed above.

JOB REQUIREMENTS

EDUCATION:

  • Bachelor's degree required.

CERTIFICATES, LICENSES, REGISTRATIONS REQUIRED:

  • None required.

EXPERIENCE:


  • 1-2 years of experience focused on administrative support, database management, process implementation and improvements in a nonprofit or for-profit field required.

  • Experience managing meetings and events is preferred

  • Experience with Raiser's Edge and Raiser's Edge NXT.


KNOWLEDGE, SKILLS & ABILITIES (KSAs):


  • Knowledge of fundraising and grant management procedures and processes is preferred.
  • Professionalism and diplomatic approach to interaction with colleagues and donors.
  • Familiarity with CRM and CRM-related applications and database operations, preferably with those used in development.
  • Proficiency with Microsoft Excel, PowerPoint, and Word.
  • Ability to manage multiple tasks in a deadline-driven environment.
  • Proven track record with attention to detail, precision, multi-tasking, and problem-solving.
  • Strong written communications skills.
  • Discretion in handling sensitive and confidential information.
  • Ability to work independently and as part of a team.
