ROP for position: $25.00/Hrly

ESSENTIAL JOB DUTIES AND RESPONSIBILITIES



  1. Screen, qualify and routes incoming phone calls. Answers the phones of the sales staff in their absence.
  2. Knowledge of each sales managers' market segments and responsibilities in order to direct client inquiries appropriately. Take accurate messages in their absence.
  3. Lead Catcher-Create and/or assign leads from inquiries into Delphi to assign to the respective sales manager based on deployment.
  4. Sends menus, hotel information, Thank You letters and all other correspondence to clients.
  5. Responsible for the organization of and distribution of BEOs in preparation for BEO meeting, weekly Catering Calendar distribution, and site tour alerts
  6. Assist in diagram creations of upcoming events
  7. Assist in making and maintaining all group reservations. Assist in booking individual reservations that fall into special rate categories.
  8. Prepare VIP and other amenity requests
  9. Responsible for faxing, copying, filing and any other clerical duties.
  10. Responsible for maintaining adequate stock of sales collateral and supplies. Responsible for ordering the supplies for the sales and catering departments and submits to Director of Sales and Marketing for approval.
  11. Ensure work area cleanliness is maintained at all times.
  12. Maintain efficiency in the operation of the staff in a high standard of quality of service and courtesy, bringing total satisfaction to our guests and the hotel.
  13. Maintain a complete and accurate set of logs.
  14. Be a Team Player and encourage the teamwork attitude among staff.
  15. Ensure all guests who experience a problem receive an appropriate response, any promised compensation is delivered, and an appropriate follow up in a timely and professional manner.
  16. Promote open channels of communication between all hotel departments.
  17. Attends department meetings and as needed, attends interdepartmental meetings.
  18. Be familiar with the operating procedures of all other areas of the hotel, cooperating fully and in a friendly manner with those areas to assure customer satisfaction.
  19. Route associate recommendations received from guests to the person responsible for assembling the daily packet.
  20. Notify management of any pertinent information related to shift activities.
  21. Determine the requirements for and the follow up on special groups, VIPs, etc.
  22. Follow supervisor's instructions and completes other duties as directed or assigned.
  23. Assist sales manager with preparation of sales trips, trade shows and client appreciation events.
