As a staff member on the Alumni Relations Analytics team, the Program Coordinator is responsible for providing critical operational support to the Alumni Relations and Operations teams. Responsibilities include supporting aspects of events, managing data reporting needs and entry into the data system, writing and proofreading support, processing checks received and creating the daily gift log, help with scheduling team meetings and logistics, and supporting the creation of new accounts for new gifts.
Specific Responsibilities:
Administration
- Manages the day to day data reporting needs; compiles and enters data into databases and systems.
- Coordinates team meetings including the schedule and logistics.
- Processes checks and prepares daily gift log.
- Processes new account creation for new gifts received.
Communication, Outreach & Recruitment
- Understands and uses coordinated, consistent marketing and brand messages in all communications.
- Assists with writing and proofreading of communications
- Participates in the annual giving end of calendar and end of fiscal year calling programs for outreach efforts.
- Creates and nurtures relationships with the annual giving, operations and alumni relations teams through effective communication.
Events
- Coordinates logistics related to alumni relations and annual giving programming including but not limited to creation of collateral, briefings, and bios of attendees to ensure a best-in-class event plan.
- Assists with contract negotiations as needed.
- Ensures event details including but not limited to tracking rsvp lists and providing updates to all interested parties on attendance.
- Assists with developing plans for events, including the Cvent registration creation, invitation creation, and event follow-up plans.
Miscellaneous
- Performs other duties as assigned.
Minimum Qualifications: (Education, experience, and any other certifications or clearances)
- Successful completion of a full 4-year course of study in an accredited college or university leading to a bachelor's or higher degree; OR appropriate combination of education and experience.
- 1 year program/project administration or other relevant experience.
Minimum Competencies: (Skills, knowledge, and abilities.)
- Strong knowledge of Microsoft Office Suite; familiarity with CATtracks and Tableau
- Agile at learning new software programs including NU specific and ability to troubleshoot technology
- Ability to manage team meetings, including invites, agendas, room reservation, and use of technology
- Ability to be flexible
- Ability to prioritize tasks and manage time effectively
- Detail-oriented with excellent writing and verbal communication
- Ability to manage multiple projects simultaneously
Preferred Qualifications: (Education and experience)
- 2-3 years program/project administration
- 2-3 years supporting multiple individuals in a dynamic, fast-paced environment
- Experience in higher education

- Ability to think critically and make strategic recommendations
- Ability to determine efficiencies and make changes as required
- Ability to build relationships across the organization
Target hiring range for this position will be $58,000 - $60,000 per year. Offered salary will be determined by the applicant's education, experience, knowledge, skills and abilities, as well as internal equity and alignment with market data.
