JOB OVERVIEW:
Valiant Integrated Services, a leader in the Defense Services industry, is seeking an enthusiastic and reliable Administrative Assistant - Operations for a full-time front office role at the Army's Mission Training Complex in JBLM, Washington. In this position, you will be the first point of contact for visitors, responsible for greeting them, managing access control to campus facilities, and ensuring security protocols are followed. You will also handle scheduling and maintaining multiple calendars for customer activities, and manage Visitor Authorization Requests. This role requires strong communication and organizational skills to liaise effectively with military personnel, government staff, and contract employees. Working closely with the Operations Manager, government leadership, and the Program Manager, you will play a vital role in supporting the smooth day-to-day operations of the complex.
RESPONSIBILITIES AND DUTIES (ESSENTIAL FUNCTIONS):
- Greet visitors in a welcoming and professional manner; manage phone calls by answering, screening, transferring, and taking messages when necessary.
- Verify access credentials, issue visitor badges, and monitor visitor access to ensure security protocols are followed.
- Maintain situational awareness by monitoring CCTV and assist with overall facility security as needed.
- Manage and coordinate a suite of web-based calendars to align training and administrative space requests with available classrooms, offices, meeting rooms, classified areas, and other training venues on the MTC campus.
- Support contract staff administration by assisting with travel coordination, processing security clearances, and addressing finance and human resources-related issues.
- Receive, sort, and distribute incoming mail and correspondence, including USPS and courier services (e.g., FEDEX).
- Provide general administrative and clerical support as needed to ensure smooth day-to-day operations.

QUALIFICATIONS (KNOWLEDGE, SKILLS AND ABILITIES):
- At least one year of experience in an military office or military staff setting.
- Must hold an active SECRET clearance or be able to obtain one upon hire.
- Strong verbal and written communication skills, with the ability to be tactful and impartial.
- Basic proficiency in computer applications (MS Office, email, typing).
- Military experience is required.
EDUCATION REQUIREMENTS:
- High school diploma required; associate's degree preferred.
PHYSICAL REQUIREMENTS:
- Prolonged periods of sitting at a desk and working on a computer, as well as standing and walking for extended periods. Must be able to lift up to 30 pounds when needed.
- Work in both in indoor and outdoor environments.
- Outdoor environments may involve inclement weather conditions, carrying equipment over uneven terrain, and maneuvering equipment in tight spaces.
ADDITIONAL REQUIREMENTS:
Knowledge of military rank structure, protocol, and the organization of military units.
