The Director of Ambulatory Operations supports the physician practice management activities of the Honickman Center. The Director functions as a strategic leader of practice business operations and an internal consultant, and also serves as a liaison with the providers and staff in the building and as an advisor to the AVP, Ambulatory Operations on administrative, contractual, long-range planning, third-party reimbursement and clinical operational issues within the building. The Director will oversee critical staffing functions (Patient Ambassadors, Medical Assistants, Honickman Center Float Pool) and will be responsible for flexing staff around the building to align with shifts in staff supply and patient demand.

Job Description

  • Interacts with co-workers, visitors, and other staff consistent with the values of Jefferson.
  • In collaboration with the AVP, Ambulatory Operations, sets the goals, strategy and objectives for areas under their supervision
  • Manages 2 multi-specialty floor managers with a dotted line reporting relationship for the remaining 5 floor managers. Supports 22 specialties across 7 floors of the Honickman Center.
  • Manages the centralized Honickman Center ambassador team and the medical assistant, nurse, and ambassador float pools for the Honickman Center. Strategically places staff to meet demand. .
  • Creates an environment of psychological safety for staff and promotes a high quality patient experience
  • Communicates clearly and meets regularly with Department and Honickman Center leadership
  • Develops trust and collaborative relationships with individual faculty members
  • Cultivates a continuous improvement mindset amongst the faculty and staff
  • Assists in the development and leadership of new strategic initiatives
  • Performs reviews of practice business operations; develops recommendations and supports their implementation, promotes efficiency and effectiveness of practice operations at the divisional level.
  • Supports and monitors development/implementation of the Department policy at the divisional level, addressing charge capture, patient registration, accounts receivable management, forms design, guest relations issues, etc.
  • Analyzes department/divisional practice statistics, including information regarding patient visit and procedural volumes, payer mix, collection rations, practice revenues. Makes periodic presentations to Division Chiefs regarding practice activities status/developments.
  • Performs reimbursement and coding analyses, develops policies and operating procedures, monitors legislative/regulatory developments, trains divisional practice staff and supports program development
  • Monitors third-party regulations and legislative developments regarding billing and reimbursement; communicates to divisional and billing office staff, and Administrator.
  • Supports/monitors annual reviews of third-party reimbursement profiles and practice fee schedule updates.
  • Overall responsibility for financials in areas of oversight
  • Oversees the start-up of new clinical programs, establishes operational and billing processes, staffing, employee recruitment, and supervises the day to day function to ensure success of the program.
  • Develops policies and procedures in collaboration with management team
  • Creates, presents and updates patient flow and hospital/JMG systems process improvement of the Honickman Center.
  • Establishes and attends Departmental and Hospital/JMG committees and work groups, to identify and resolve areas of improvement of patient care and services.
  • Works closely with hospital/JMG administration and outside consultants in establishing and implementing new processes and work flows.
  • Interacts with co-workers, visitors, and other staff consistent with the iSCORE values of Jefferson.
  • Responsible for provider onboarding
  • Creates and oversees an interdepartmental Quality Improvement Team to implement new procedures and reviews current procedures to ensure adherence and effectiveness.
  • Develops/maintains library of practice management reference materials on topics noted above, for divisional staff usage.

Education and Experience:

Bachelor's degree in business required. Minimum of 7 years of experience in clinical care management, preferably in a multi-specialty ambulatory setting (or equivalent related experience).

Master degree in health care management or business preferred.

In lieu of Bachelor's degree at least 10 years' healthcare/practice management experience in an academic setting.
