Primary Duties and Responsibilities:
Oversee daily office operations for Project Hire-Ed, ensuring efficiency and effectiveness in processes, procedures, and reporting systems. Support the department manager with high-level administrative functions, including budget preparation and maintenance. Act as a primary liaison for the apprenticeship program, providing critical information, responding to inquiries, and welcoming external stakeholders. Partner with team members to strategize, implement, and manage new initiatives that drive program growth and success.

  • Provide administrative support to the Manager including coordination of meetings, coordinating travel arrangements, conference registrations, submitting expense reports, sorting/screening mail, maintaining calendar and scheduling appointments, etc.
  • Coordinate Project Hire-Ed Committee meetings including scheduling and creating meeting minutes.
  • Coordinate and manage departmental budget.
  • Manage specialized external data-base system and CRMs.
  • Provide information, answer questions, and explain processes for the apprenticeship program.
  • Collaborate with team members to establish planning, implementation, and completion of new initiatives for the program.
  • Collect, maintain, and appropriately file apprenticeship paperwork from internal and external stakeholders.
  • Prepare and submit all required reports as needed.
  • Create and manage prospective new/current apprenticeship data.
  • Partner with the Marketing, Enrollment and Admissions Departments to assist with the coordination, development, and implementation of marketing and enrollment strategies.
  • Provide communication support between Project Hire-Ed stakeholders including employers, Project Hire-Ed staff, community leaders and organizations, cabinet, faculty, student services divisions, etc.
  • Assist with investigation, organization, interpretation, and preparation as appropriate responses (verbal and in writing) for inquiries/matters received regarding Project Hire-Ed.
  • Maintain detailed records.
  • Work with Purchasing/Business Affairs to expedite vendor contracts and office supplies.
  • Maintain inventory of necessary supplies.
  • Scrutinize invoices for accuracy and obtain order and payment authorizations and work with Finance to ensure procedures are followed properly.
  • Other duties as assigned.


  • Qualifications:

    • Education
      • Associate degree or an equivalent combination of education and experience required.
    • Experience
      • Minimum of three years in a business or academic setting required.
      • Experience working with internal and external customers required.
      • Must have strong organizational skills, ability to prioritize and manage multiple priorities simultaneously, attention to detail, proficient in MS Office program (Word, Excel, PowerPoint, Outlook) and experience working with databases required.
      • Demonstrated proficiency in communication (verbal and written), relationship management skills, meeting deadlines in a fast-paced environment, and working accurately with a commitment to quality required.
      • Must have experience demonstrating initiative and being proactive.
      • Proficiency in written and spoken English required.
      • Five (5) or more years of experience in the above categories including direct experience with customer service, academic programs, and workforce development preferred.

    Hiring Range:
    Starting pay begins at $45,127 based on experience

    Competitive starting pay is dependent on education and experience.
