The Senior Administrative Assistant will be responsible for managing the administrative operations of the Controller's Office and providing support to the Office of the Senior Vice President and CFO. Key responsibilities include scheduling meetings, managing calendars, handling phone calls, emails, and Teams messages, and performing various administrative tasks. This role will also involve coordinating travel arrangements, creating reports and presentations, and preparing monthly statistical and budget reports. Additionally, the Senior Administrative Assistant will assist with the development and updating of policies and procedures. The ideal candidate will possess strong organizational, communication, and time-management skills, with the ability to work independently, exercise initiative, and maintain confidentiality in all matters.

Primary Job Functions and Duties:

  • Schedule and organize meetings and related logistics.
  • Assist with project planning, research, and coordination.
  • Support staff in organizing special events, including catering, agendas, gathering materials, and assisting with presentations.
  • Draft, format, proofread, and edit correspondence, reports, and materials for accuracy and completeness.
  • Maintain frequent communication with internal and external stakeholders.
  • Order and manage office supplies and inventory.
  • Provide excellent customer service in face-to-face, phone, virtual, and email interactions.
  • Generate purchase requisitions, bid waiver approvals, and/or change orders.
  • Assist with onboarding of new team members as needed.
  • Initiate follow-up actions to ensure projects and tasks are completed and deadlines are met.
  • Arrange travel, make reservations, and assist with the reconciliation of expense reports.
  • Attend meetings, document proceedings, and follow up with participants as needed.
  • Participate in special project teams and support project activities as assigned.
Qualifications
  • Formal diploma/certificate/degree program of 6-18 months post-high school.
  • Minimum of 3-5 years of work-related experience in administrative support or similar roles.
  • Strong attention to details
  • Proven ability to organize and manage time effectively.
  • Demonstrated editing and proofreading skills.
  • Ability to deliver and pick up paperwork at various internal and external offices.
  • Excellent written and verbal communication skills.
  • Proficiency in various software applications and office equipment.
  • Ability to maintain confidentiality and handle sensitive information.
  • Self-motivated and proactive with the ability to work independently and manage multiple tasks.
  • Excellent customer service skills, both in-person and remotely.
  • Ability to work effectively with a diverse group of individuals, including internal and external stakeholders
