Job Summary:
The Manager of Medical Support Services provides comprehensive leadership, formulates strategic initiatives, and oversees the operational aspects of medical staff governance, credentialing, privileging, and peer review processes within Mary Washington Healthcare (Mary Washington Hospital and Stafford Hospital). This position ensures adherence to regulatory and accreditation standards, promotes productive collaboration among medical personnel and hospital administration, and encourages efforts to improve physician involvement, quality of care, and patient safety. The Manager should have a deep understanding of medical staff bylaws, policies, and procedures, while fostering operational efficiencies within the department.
Essential Functions & Responsibilities:
- Oversees all aspects of medical staff governance, including credentialing, privileging, peer review, and adherence to bylaws, rules, and regulations. Ensures compliance with industry standards and regulatory requirements (The Joint Commission, NCQA, CMS, state licensing boards, etc.).
- Manages the medical staff office efficiently and effectively, providing high-quality service to physicians, advanced practice providers, and hospital leaders.
- Oversees the credentialing and privileging process for medical staff and advanced practice providers, working closely with leadership to standardize processes across multiple hospitals.
- Works with medical staff leadership to ensure fair, objective, and consistently applied peer review processes, supporting medical staff committees evaluating physician performance, clinical outcomes, and patient safety.
- Recruits, hires, trains, and manages the performance and professional development of Medical Support Services staff.
- Develops and implements strategies to enhance provider satisfaction and retention, including onboarding support and leadership development programs.
- Provides leadership and administrative support for Medical Executive Committees, Credentials Committees, Peer Review Committees, and other governing bodies.
- Acts as an intermediary between medical personnel, hospital administration, and legal advisors, resolving conflicts and supporting professional practice evaluations.
- Organizes initiatives to enhance credentialing workflows' efficacy, accuracy, and automation through electronic credentialing systems.
- Oversees the preparation for accreditation and regulatory surveys, audits, and inspections to ensure readiness and compliance.
- Maintains up-to-date knowledge of healthcare regulations and ensures continuous compliance with accreditation bodies and regulatory agencies.
- Oversees the focused professional practice evaluation (FPPE) and ongoing professional practice evaluation (OPPE) processes, ensuring compliance with accreditation requirements.
- Identifies opportunities to standardize processes across multiple facilities, optimizing credentialing, privileging, and peer review functions.
- Partners with VPMA and Medical Staff leadership to develop, implement, and support policies and procedures that align with the industry's best practices and regulatory requirements, integrating findings into performance improvement initiatives as needed.
- Encourages continuous improvement methodologies to enhance the effectiveness of medical staff operations.
- Implements technology-driven solutions to automate workflows, reduce turnaround times, and improve data accuracy in medical support services.
- Responsible for the creation and management of the departmental budget in partnership with Finance, ensuring cost-effectiveness and appropriate resource allocation.
- Performs other duties as assigned.
Qualifications:
- Bachelor's degree in healthcare administration, Business Administration, Nursing, or a related field- and/or 5 -7 years of progressive experience in Medical Staff Services, credentialing, or healthcare administration, with at least 2 - 4 years in a managerial/supervisory role.
- Experience working in a multi-hospital healthcare system is preferred.
- Certified Professional in Medical Staff Management (CPMSM) or Certification within two (2) years of hire.
- Certified Provider Credentialing Specialist (CPCS) Certification within two (2) years of hire.
- Comprehensive knowledge of medical staff services regulations, including Joint Commission, CMS, NCQA, and state medical board requirements.
- Proficient in healthcare data analytics tools and medical staff credentialing software
- Experience managing cross-functional teams and strong strategic management and leadership skills, developing relationships, and negotiating effectively with providers and healthcare leaders.
