Office Manager

Job Objective: Position is responsible for providing professional administrative and clerical support to the Corps Officers. Additionally, the position will be responsible for interviewing, evaluating and administering aide to clients seeking assistance with emergency needs.

Essential Functions:

Administrative



  • Greet and sign-in visitors, social services clients and program participants
  • Direct and refer individuals to an appropriate staff member
  • Receive, screen, and direct incoming calls, taking messages when appropriate and routing them to an appropriate staff member
  • Manage all incoming and outgoing mail
  • Maintain all office supplies
  • Participate in staff meetings
  • Consult with the supervisor as needed regarding special projects, reports, and office duties
  • Prepare responses to requests for information as directed by the Supervisor
  • Assist with tracking monthly statistics reports for the case manager
  • Assist with Christmas activities and events
  • Maintain sign-in logs
  • Pull files for clients if they have one or make new ones for newcomers
  • Maintain files on clients served in the pantry.
  • Yearly, merge old files and store
  • Pre-screen all volunteers and keep records of volunteer information


Harvesters



  • Maintain all Harvesters log-sheets
  • Work with commanding officers on monthly Harvester food order
  • Maintaining panty, keeping shelves organized and stocked, and reporting any concerns to BM


Support to Corps Officer



  • Provide administrative services and coordinate logistics for the Commanding Officer(s), including data entry, typing, and general clerical support
  • Support the Commanding Officer(s) in keeping track of priorities, initiatives, and workflow
  • Communicate well the instructions of the Corps Officer to other staff and volunteers


Human Resources



  • Review hiring packets & staff change of status requests; seek Commanding Officer approval before submitting to DHQ Human Resources Department
  • Assist Employees/Managers with new hire packets


Staff Supervision



  • Supervise AARP employees and submit weekly timecards.


Additional Duties



  • Advise and assist in other programs as needed
  • Other duties as directed



Minimum Qualifications:

Education: A minimum high school diploma or equivalent is required. At The Salvation Army's discretion, a combination of training, education, and experience equivalent to the knowledge base achieved by the above standard is acceptable.

Experience: Minimum two years' experience in an administrative support role; minimum two years' experience working with low-income and minority populations

  • Ability to communicate effectively, orally, and in writing
  • Organizational skills
  • Detail oriented
  • Ability to work independently with limited supervision
  • Ability to operate office equipment including telephone, computer, copier, fax, and scanning equipment
  • Ability to use Microsoft Office products and program-specific software
  • Bilingual (Spanish and English) preferred


Supervisory Responsibility: Responsible for supervising AARP participants and volunteers

Physical Requirements: Include speaking, hearing and vision ability; manual dexterity; lifting, pulling and pushing materials up to 25 pounds; bending, squatting, and walking; sitting for extended periods of time; standing for extended periods of time. Reasonable accommodation may be made to enable individuals to perform the essential functions of this job.

Travel: None

Driving: Driving is not required but preferred. Staff with a valid license from the state of residence will apply for approval through The Salvation Army Fleet Safety Program. If approved, the candidate might be asked to drive either a Salvation Army or personal vehicle on Salvation Army business.

Working Conditions: Work is performed in a typical office environment.
