The hiring range for this role is:

67,240.00 - 94,300.00

This is the lowest to highest salary we, in good faith, believe we would pay for this role at the time of this posting. We may ultimately pay more or less than the hiring range and this hiring range may also be modified in the future. A candidate's position within the hiring range may be based on several factors including, but not limited to, specific competencies, relevant education, qualifications, certifications, relevant experience, skills, seniority, performance, shift, travel requirements, and business or organizational needs.This job is also eligible for annual bonus incentive pay.

Job Description Summary:

This role ensures the effectiveness and efficiency of the leadership by providing full range of administrative support to the Executive or team and in certain instances the department, exercising confidentiality, tact and diplomacy. Leads all efforts in providing information for internal and external inquiries regarding divisional activities, providing excellent customer service and follow-through, and maintaining positive interactions with internal and external contacts, including Member Plan CEOs and executives, federal government and industry stakeholders, and other BCBSA senior executives as appropriate. Maintains confidentiality of all information and matters. Also includes being responsible for coordinating small-scale cross-functional projects and supporting larger scale initiatives. Coordinates status reporting of cross-functional project-oriented work efforts, including workplan activities, and tracking and reporting company performance.

Responsibilities include but are not limited to:

Office Management:

  • Acts as first line of communication and coordination to external and internal stakeholders.

  • Exercising discretion and independent judgement in managing the flow of information and the timing of meetings and communication, including Outlook management

  • Organizes data and analytic information to maximize use by the team. Ensure that the leader has the materials in advance of the meetings.

  • Proactive management of vendor payables for the department, ensuring accuracy and timeliness.

  • Handles travel plans from start to finish, ensures that the leader has what they need for their travel plans. Processes expense reports timely with accuracy.

  • Takes comprehensive notes at meetings, drafting letters and emails, word processing. Prepares Power Point presentations (slides and charts). Prepares Excel spreadsheets, filing, faxing, photocopying, transmitting fax\email broadcasts using Outlook, and ordering supplies.

Project Management:

  • Responsible for coordinating team planning discussions and related outputs to develop roadmaps, focusing on key priorities and track success measures. Guides the overall management of executive projects.

  • Aid in the administration of participant correspondence and ongoing implementation activities of the project, demonstrating independent judgement.

  • Proactively manage teams' Objectives and Key Results to ensure department goals are making progress, flag those that are not and inquire of status.

  • Supports Executive or team in conducting planning sessions with the leadership and management teams. Coordinates division-wide/department-wide planning meetings on a regular basis, create agendas, take notes, produce meeting summaries. Organize planning related materials, ensuring materials are prepared timely and effectively, coordinate technical support for the meetings.

  • Performing analysis and synthesis of data and information, prepare graphs, slides and summary tables.

Required Education, Certifications and Experience:

Required: Bachelor's degree or equivalent years of experience

Experience and Certification:

Required:

  • Project Management Professional designation or work equivalence of four years minimum managing executive projects in high visibility environment involving evolving external and internal stakeholders.

  • Experience in managing executive projects in high visibility environment involving external and internal stakeholders

  • Experience in working collaboratively with executive leaders with high national public profiles

Knowledge, Skills, and Abilities

  • Demonstrated project management skills in tracking updates, identifying potential foot faults

  • Ability to work independently to generate, synthesize and analyze data, reports and tables.

  • Demonstrated ability to manage multiple projects with overlapping timetables

  • Ability to work effectively as a team member

  • Excellent technical proficiency with information technologies (e.g. Microsoft Office) and literature-searching, with particular emphasis on Excel and PowerPoint

  • Excellent verbal and written communication skills, problem solving and organizational abilities.
