POSITION PURPOSE:

The Secretary III shall provide administrative services support associated with the U.S. Department of Energy, Office of Science (SC).

ESSENTIAL DUTIES AND RESPONSIBILITIES:


  • Submit Federal Register notices in a timely manner to announce meetings outside scope of meeting planner.
  • Update and maintain PCAST's public-facing website to announce meetings and other information.
  • Assist OSTP Communications with drafting tweets and other public messages to amplify meetings.
  • Compose draft thank you notes to meeting speakers and participants.
  • Provide workshop support.
  • Review PCAST reports for format, consistency, and grammar. Make changes and/or corrections, as necessary. Develop graphics for reports and prepare bibliographic material.
  • Schedule preparatory Zoom, .gov calls including following up with administrative assistants to ensure that a quorum exists to vote on reports; following up with members and their assistants to assure that all participants call in.
  • Support agenda development and reminders for preparatory conference calls.
  • Support multiple projects going on at one time by scheduling conference calls and face-to-face meetings, following up on requests to (and sometimes from) working group members, and maintaining project status on online systems.
  • Maintain accurate biographies, addresses, and administrative contacts for the PCAST directory.
  • Compile background research and briefing materials and prepare for distribution.
  • Develop and program presentation materials (e.g., PowerPoint) and keep up to date.
  • Develop and update tracking system to keep OSTP staff informed of PCAST activities, dissemination of PCAST work, and implementation of PCAST recommendations.
  • Maintain PCAST record-keeping, both adapting material from prior years and improving and maintaining systems going forward,

MINIMUM QUALIFICATIONS:
Education and Experience:


  • HS Diploma or GED
  • 5-8 years of relevant experience

Skills and Abilities:


  • High level of proficiency in time management and coordination of multiple tasks.
  • High level of proficiency in Microsoft Office Suite
  • Knowledge of, or training in, other Office of Science and DOE information systems
  • Able to format documents, prepare agendas, schedule meetings and schedule conference calls
  • Expert editing skills
  • Expert written and oral communication skills
  • Able to research and track down historical documentation

Special Requirements:


  • Must have experience with CONCUR.

PHYSICAL DEMANDS:
This position is a sedentary role. While performing the duties of this job, the employee will be sitting for long periods of time but will also be required to stand, walk, and communicate with others.

WORKING ENVIRONMENT:

All work will be performed indoors.
