JOB DESCRIPTION AND POSITION REQUIREMENTS:

The Penn State College of Engineering seeks an equity-minded, energetic, and detail-oriented Administrative Support Assistant to join our highly collaborative, student-focused team. This position will play a key role in supporting academic integrity processes while also managing the logistics of global programs for students and faculty. The ideal candidate will be highly organized, possess strong interpersonal and communication skills, and be able to manage multiple responsibilities in a fast-paced environment.

The College of Engineering is supportive of flexible work arrangements when aligned with the ability to meet the needs of the unit and the essential duties of the position. Questions related to flexible work should be directed to the hiring manager during the interview process.

Key Responsibilities

Academic Integrity Support:

  • Serve as a backup point of contact for students and faculty regarding academic integrity procedures.

  • Log and track academic integrity cases, ensuring compliance with university policies.

  • Schedule and manage academic integrity review teams.

  • Compile and distribute materials for review teams and facilitate the decision-making process.

  • Maintain and update academic integrity resources, websites, and reports.

Support for Faculty-Led Study Abroad & Global Programs:

  • Assist in planning and administering logistics for faculty-led study abroad and virtual global programs.

  • Work with the Administrative Manager on budget expenditures for the Center for Global Engineering Engagement and assist in the financial reconciliation of programs.

  • Support faculty and students with travel arrangements, including visas, passports, and ticketing.

  • Coordinate logistics for international and virtual programs, ensuring compliance with university policies.

  • Schedule and Maintain program information sessions, application processes, and faculty coordination.

  • Assist in planning itineraries for international program visitors and support funding initiatives.

  • Organize marketing efforts and event planning for global engagement programs.

Additional Responsibilities Under the Associate Dean for Education could include:

  • Provide administrative support for CoE Certified Micro-Credentials programs.

  • Assist in coordinating faculty development initiatives.

  • Support various student success programs and initiatives.

  • Manage communications and scheduling for educational programs and events.

Qualifications Required:

  • High school diploma or higher plus 2+ years of related experience or an equivalent combination of education and experience for Intermediate support and less experience needed for Support level.

  • Strong attention to detail and ability to manage multiple tasks efficiently.

  • Excellent interpersonal, organizational, written, and verbal communication skills.

  • Ability to work in a collaborative, team-based environment while also independently managing responsibilities.

  • Strong customer service skills, particularly in sensitive situations.

  • Ability to prioritize tasks, meet deadlines, and adapt to changing needs.

  • Interest in fostering equitable and inclusive office operations and global experiences.

  • The successful candidate must be flexible, adaptable, and eager to embrace new challenges.

  • A demonstrated commitment to diversity, equity, and inclusion is essential.

The salary range for this position, including all possible grades is:

$34,800.00 - $55,500.00
