Job Description

Apex Clean Energy is seeking an Operations Systems Coordinator who will support the Asset Management department by overseeing and optimizing various operational processes within the Maximo platform and other related systems. This role involves managing user accounts, ensuring license compliance, and configuring databases to streamline asset management operations. The Operations Systems Coordinator will also assist in the implementation of AMO initiatives, track asset-related inventory, define service level agreements (SLAs), and support procurement management across the organization. In addition, the role will focus on asset tracking, monitoring key performance indicators (KPIs), and generating reports to assess work orders, preventive maintenance, and labor costs.

This position requires a detail-oriented individual with strong organizational skills, a good understanding of asset management systems (especially Maximo), and the ability to manage multiple tasks and projects effectively.

Primary Responsibilities

  • Manage user accounts and assign specific roles within various applications.
  • Monitor license usage to ensure compliance and optimize resource allocation.
  • Configure and maintain the database to ensure efficient operations.
  • Create application users with appropriate permissions for access.
  • Set up new sites using an established Bill of Materials (BoM) Excel template and upload to Maximo.
  • Assist in breaking down tasks for projects, including creating preventive maintenance and job plans.
  • Manage the interface with external customers, such as Aquitas.
  • Provide training on navigating the Maximo interface, creating and managing work orders, purchasing, and managing inventory.
  • Support Asset Management Operations (AMO) initiatives within Maximo to enhance asset management.
  • Track asset-related inventory and its usage.
  • Define and manage service offerings and establish service level agreements (SLAs).
  • Support all phases of enterprise-wide procurement management.
  • Process and track the movement of assets within a facility for easy location tracking.
  • Monitor key performance indicators (KPIs) and other metrics, offering near-real-time updates.
  • Prepare reports for work orders, preventive maintenance, labor, and other related data.
  • Utilize condition monitoring and inspection templates to reduce maintenance costs, define thresholds, and set inspection frequencies.
  • Implement a mobile Enterprise Asset Management (EAM) solution to manage assets anytime, anywhere.
Qualifications

To succeed as an Operations Systems Coordinatorat Apex Clean Energy, you'll need to excel within the following criteria:

  • Bachelor's Degree in Business Administration or a related field (or equivalent work experience).
  • Experience with Maximo or other asset management systems (e.g., EAM systems) is strongly preferred.
  • Proficiency with Microsoft Excel, including advanced functions like pivot tables, VLOOKUP, and data analysis.
  • Strong organizational skills with the ability to manage multiple tasks, priorities, and projects effectively.
  • Excellent communication skills, including the ability to interface with both internal stakeholders and external customers
  • Problem-solving skills and the ability to drive improvements in operational efficiency and cost reduction.
  • Ability to work independently and as part of a team in a fast-paced environment.
  • Willing to work from our headquarters in Charlottesville, VA.

Work Environment:

Works primarily traditional office hours in an indoor office environment. Flexible work hours allowed when work duties and business operations permit.
