Position Purpose
Supports payroll processing and HR operations for the School of Arts & Sciences, with a focus on staff and student employee transactions. Plays a central role in coordinating biweekly and student payroll submissions and approvals, maintaining accurate records, and supporting compliance across payroll functions. On the HR side, assists with process documentation, internal communications, onboarding coordination, and file organization. Serves as a tech-savvy, detail-oriented point of contact for employees and departments across the school. Works collaboratively with both the Payroll and HR teams to promote efficiency, accuracy, and a positive service experience.

Education and Experience

  • Bachelor's degree or equivalent combination of education and experience.
  • 2+ years of experience in payroll, HR, finance, or a related administrative role.
  • Experience with timekeeping or HR systems (e.g., Kronos, HRMS, or OnBase) preferred.



Skills, Knowledge, and Abilities

  • Strong organizational skills with keen attention to detail.
  • Excellent communication and customer service skills.
  • Ability to manage and prioritize multiple tasks with accuracy and professionalism.
  • Comfort with process documentation and working with shared templates or guides.
  • Proficiency in Microsoft Office tools, especially Excel and Outlook.
  • Ability to work independently and collaboratively in a fast-paced, deadline-driven environment.
  • Commitment to respectful, inclusive communication and service.

Description
Payroll Processing

  • Processes biweekly payroll transactions for staff and student employees.
  • Monitors and follows up on student timecard approvals to ensure timely and accurate submission.
  • Enters job changes, labor distributions, and pay actions into HRMS and Kronos.
  • Assists in reviewing payroll entries for completeness and compliance.
  • Tracks and communicates key deadlines to departments.

  • Documents routine HR workflows and maintains shared templates and guides.
  • Organizes and maintains employee files and transactional records.
  • Supports process consistency across the HR team through documentation and tool development.

Employee and Department Support

  • Serves as a first point of contact for payroll and HR-related questions.
  • Communicates with departments and employees to resolve minor issues or collect missing items.
  • Supports onboarding and orientation steps including I-9 coordination and document collection.

Communications and Resources

  • Drafts and distributes internal updates, reminders, and how-to instructions related to payroll and HR processes.
  • Helps maintain resource materials, forms, and shared documentation libraries.
  • Contributes to user-friendly tools that improve department understanding and compliance.

Description
Compliance and Reporting

  • Assists with internal reporting needs, documentation audits, and compliance checks.
  • Prepares and maintains payroll and HR data in OnBase and other tracking systems.
  • Ensures that data entry and document storage follow institutional guidelines.

Collaboration and Team Support

  • Participates in regular team meetings, trainings, and improvement initiatives.
  • Provides backup support during peak volume or team absences.
  • Supports shared goals across Payroll and HR teams in a proactive and collaborative manner.
