Overview
The Meeting and Trade Show Consultant is responsible for planning and managing meeting and trade show efforts and supporting marketing communications. This role leads strategic planning and tactical execution of Tactile Medical's annual meetings to include National Sales Meeting, national and regional trade shows for both the lymphedema and respiratory businesses and facilitate contracts for corporate grant/sponsorships agreed upon by leadership. This function plays a key role in helping Tactile Medical generate maximum value from its conference and sponsorship investments, ensuring that each event positions the company to drive brand awareness, generate and follow-through with qualified leads, and strengthen customer relationships.
Responsibilities
Trade Show Management
- Execute the trade show strategies as developed by marketing and sales; implement solutions to include strong messaging to increase leads, generate brand awareness and to ensure best-in-class customer experience for conference attendees for an estimated 35 national conferences
- Oversee lead capture and distribution to responsible sales personnel to maximize post-event conversions
- Analyze, track and report on event impact
- Develop and execute communications to internal audiences regarding trade show planning including timelines, objectives, messaging, schedule of events and key deadlines; includes pre-call planning, know before you go communications and post event debriefs.
- Manage the exhibit house vendors on booth logistics including layout, product needs and placement, messaging, signage, AV requirements, show services, shipping and budget
- Order show services to include carpet, furniture, lead retrieval device, electrical and other services required for exhibit booth set-up and dismantle
- Supervise on-site management of set-up and dismantle of exhibit booth properties for national trade shows as needed
- Select and manage third-party vendors, contractors, and suppliers for services such as booth design, audio-visual equipment, transportation and timely payment processing
- Negotiate contracts, manage budgets, and ensure quality service delivery for all tradeshow-related services
- Manage and maintain national tradeshow calendar to accurately identify dates, locations and exhibit booth focus, including marketing calendar and myTactile for companywide visibility
- Organize trade show-related programs to ensure sponsored customers and Tactile employees participating in the meeting have the appropriate environment and tools to meet their objectives
- Ensure compliance with sales and marketing operational policies and procedures
- Maintains compliance with all appropriate regulatory requirements including HIPAA
- Partner with Marketing Communications for meeting and trade show support (i.e., booth graphics, videos, email, collateral)
- Oversee day-to-day work of part-time contractors to coordinate regional trade shows in support of the sales team. This includes overseeing exhibiting at an estimated 75 conferences yearly including VA (approximately 60 events), coordination of ordering and shipping marketing materials, expense reconciliation, lead distribution and collecting feedback forms
- Utilize a multi-channel approach, including social media, email marketing, and other strategies to generate awareness of participation in conferences and sponsored activities partnering with Marketing
- Analyze data, post-show feedback and insights to identify areas for improvement and implement changes for future events
- Research, make recommendations and review feedback from attendees on selection of trade shows the company attends annually and partner with SMEs on changes in strategies

Meeting Management
- Consult with meeting owner to determine program's goals and objectives; develop event strategy
- Research, evaluate, and select suitable venues and locations that fulfill meeting purpose and space requirements while remaining within budget parameters
- Manage the end-to-end planning, coordination, and execution of all events
- Negotiate contracts for venues and suppliers that include meeting space, sleeping rooms, food and beverage, AV technology and additional meeting related services resulting
- Review and negotiate hotel contracts for executive administrative, sales and marketing teams
- Oversee vendor services and ensure all suppliers adhere to all company service level expectations
- Oversee the scheduling and coordination of internal and external speakers and presenters
- Coordinate pre-program logistics and manage on-site execution of program functions including housing, technology and additional meeting related services
- Oversee meeting communication materials, marketing collateral and attendee giveaways
- Collaborate with various departments to curate event agendas, content, and presentations
- Explore new meeting technologies to enhance attendee experience
- Manage event registration processes and maintain accurate attendee records
- Coordinate travel and accommodation arrangements for attendees
- Provide support to attendees during the event, addressing inquiries and concerns
- Manage budgets ensuring effective cost control. Managing budget over $1.5M
- Monitor and report event expenses including Open Payments, identifying opportunities for cost savings
- Complete post-event tasks including reconciliation of expenses, evaluation of events and recommend
- improvements for future meetings
- Other duties as assigned
Qualifications
Education & Experience Required:
- Bachelor's degree in marketing or communications or equivalent work experience
- 5-7 years' work related experience in meeting and trade show planning and marketing
- Proven experience carrying out event marketing efforts, including trade show planning, attendance and reporting
Preferred:
- Trade Show and/or meeting and events experience
- Professional certification/designation (e.g. CMP, CSTM)
- Previous medical device field experience
- Previous Field sales support experience

Below is the starting salary range for this position, although offers may differ based on the candidate's location, job-specific knowledge, skills and experience.
