Job Summary The Student Services Specialist Sr. is responsible for coordinating office workflow, training part-time temporary employees, serves on department and districtwide Veterans Services Center committees, and performs a high volume of technical and complex School Certifying Official duties. This position will assist student veteran and dependents through activities such as: advising and counseling on educational benefit programs, discussing key aspects of the enrollment services process, research and troubleshoot issues that prohibit or affect enrollment certification, and serves as a point of contact for colleagues in other departments throughout MCCCD and for federal and state regulatory agencies. This position is responsible for a cohort of up to 200 students per academic semester; process student Request for Benefit forms, certify VA educational benefits in the role of School Certifying Official (SCO), monitor student enrollments to include enrollment changes (adjustments and amendments), prior credit review, academic probation, and graduation reporting. Additional duties include processing VA eligibility required forms, working in a fast-paced work environment, providing general academic and career advisement and other related enrollment services to new and continuing students while providing thorough documentation of each advisement interaction. Incumbents must maintain current knowledge of VA regulations & compliance policies, MCCCD academic programs, student registration processes, pathway programs and general financial aid requirements. Annual completion of VA School Certifying Official training is also mandated. As a School Certifying Official, you will be required to collaborate with Enrollment Services Field of Interest (FOI) advisors to provide holistic student advising to current and new GCC students via instant messaging, email, individual in person and virtual appointments. This position will assist with resolving VA educational and benefits enrollment and payment issues and concerns that have been escalated to external agencies, work with external federal and state approving agencies and MCCCD sister college constituents. Essential Functions 30% -This position provides direct support to student veterans and their dependent students by offering comprehensive advising and counseling on educational benefit programs. The role involves guiding students through key aspects of the enrollment services process, proactively identifying and resolving issues that may hinder or delay enrollment certification. In collaboration with Field of Interest (FOI) advisors, Financial Aid, and Business Services, the position ensures seamless processing of advanced payments and enrollment, maintaining a student-focused approach to navigating institutional and federal procedures. 25% -This position is responsible for executing technically complex VA processes. This includes reviewing benefit request forms, promissory notes, and educational plans to confirm alignment with declared programs of study and course applicability. The role certifies school courses, processes tuition and fees, and maintains accuracy and compliance by updating multiple systems such as the Student Information System (SIS), VA Enrollment Management, and third-party military education platforms. Attention to detail and strong knowledge of veterans' education benefits regulations are essential to success in this role. 25% -Provide accurate and consistent customer service to students regarding VA educational benefits and GCC programs of study. Engage in a high degree of internal communication between FOI and Specialty Advisors regarding student's educational plan to ensure they take the courses needed to meet degree requirements and other eligibility requirements to receive Veteran benefit. Adhere to processes that ensure students experience a smooth transition as they move between FOI and specialized advising service. Research and assist with responding to inquiries requiring detailed knowledge of federal and state regulations and policies and serves as a point of contact for colleagues in other departments, throughout MCCCD, and for federal and state regulatory agencies. Ensure compliance with all GCC and Veteran Services Center policies. 10% Assists students with initial online application for VA educational benefits initial application and GCC admissions registration. Performs regular follow-up via email and phone calls to inform students of outstanding/incomplete forms needed to certify benefits. Represent the Veterans Services Center and GCC at special VSC sponsored events as needed. 10% Training, leading the work and assisting in coordination of scheduling of training part-time temporary employees, and performs other duties as assigned. Minimum Qualifications Associate's Degree from a regionally accredited institution and two years of student services or college teaching experience or experience assisting with educational program development and coordination, student advisement, financial aid, or related student development programs. OR An equivalent combination of the conferred degree and directly related full-time work experience as described above sufficient to successfully perform the essential duties of the job such as those listed above, unless otherwise Desired Qualifications A. Two (2) or more years' experience working with Veteran and dependent students or in a compliance focused department with knowledge of Federal and State education regulations, programs, compliance, policies or student veterans benefit guidelines. B. Two (2) or more years' experience in all facets of certifying initial enrollment, certifying enrollment changes, or advising students in compliance with federal and state education laws. C. Two (2) or more years' experience utilizing internal/external databases such as PeopleSoft (SIS), Enrollment Manager or student enrollment systems. D. Two (2) or more years' experience providing high level customer service to a client population that requires delivering complex education benefits. E. Two (2) or more years' experience working in student services advisement and knowledge of student education plans and program pathways. Special Working Conditions
