Job Summary

GateWay Community College is now hiring for a great role! The Division of Student Affairs at GateWay Community College is now hiring an Administrative Associate Coordinator. The Administrative Associate Coordinator provides support and services that are associated with the two (2) deans within student affairs and the areas under their responsibilities. This role is responsible for planning, organizing, coordinating, or overseeing a variety of moderately complex and varied general and administrative/office support functions that are essential to the accomplishment of the work of the two (2) deans within Student Affairs, coupled with communication to external agencies and stakeholders within the college. They may coordinate office workflow and provide training to federal work-study student workers and part-time staff.

Essential Functions

40% Executive Support: Performs administrative and general office activities in support of assigned executives and programs; acts as the primary point of contact for external and internal stakeholders and responds to inquiries; ensures confidentiality of information and safeguards the security of data and records; coordinates and troubleshoots assigned projects, programs, and initiatives; updates stakeholders on progress; ensures deadlines and timelines are met; maintains executives' calendars, ensuring in-person and virtual meetings, events, seminars, and conferences are accurately scheduled with all required attendees and documents or links; makes travel arrangements, including transportation, schedules, reservations, and itineraries; creates and follows up on help desk tickets for IT, facilities, etc.; and stays up-to-date on training, regulations, policies, and procedures.

30% Financial Processes: Creates requisitions and purchases supplies and equipment; tracks and maintains account balances and spending. Monitors expenditures through requisitions, purchase orders, and ProCard transactions. Prepares and reconciles travel expense reports; researches and communicates discrepancies to the Business Services Division. Manages the receipt, storage, and distribution of supplies.

20% Communication and Reporting: Prepares meeting invitations, agendas, documents, and notes; attends meetings and follows up on commitments made; creates forms, templates, presentations, training materials, and correspondence; submits reports and data, including charts, graphs, directories, databases, and summaries; researches and reviews policies and procedures to ensure compliance.

10% Other duties as assigned

Minimum Qualifications

Associate's Degree from a regionally accredited institution and three (3) years of administrative office support, secretarial, or related experience providing office coordination activities, preferably involving executive level staff.

OR

An equivalent combination of the conferred degree and directly related full-time work experience as described above sufficient to successfully perform the essential duties of the job such as those listed above, unless otherwise subject to any other requirements set forth in law or regulation, may be considered.

Desired Qualifications

A. Two (2) or more years' working at an institution of higher education.
B. One (1) or more years' experience working with a customer relationship management (CRM) system or some similar system.
C. One (1) or more years' experience in compiling data and providing reports. Experience maintaining, recording, communicating, procedures and regulations.
D. Two (2) or more years working specifically within student support and services, or other Student Affairs related areas.
E. One (1) year leadership experience coordinating and/or supporting project management and/or workflow.

Special Working Conditions
  • Will be required to travel or be assigned to all GateWay locations
  • May require some evenings or weekends
  • May require prolonged periods of viewing a computer screen
  • May be required to lift or carry up to #25 lbs
