Credence has an upcoming need for a Administrative Assistant who will be primarily responsible for supporting Air Force Security Assistance and Cooperation Directorate Force Military Sales (AFSAC - FMS) at Wright Patterson AFB, OH. AFSAC (Air Force Foreign Military Sales) is a team that develops Air Force FMS cases to enable global coalitions and support priorities of the six geographic U.S. combatant commands. Their mission is to deliver airpower capabilities to strengthen international partnerships and advance national security
Responsibilities include, but are not limited to the duties listed below
Provide assistance with administrative and management support including but not limited to assisting the AFLCMC/WFO office in analyzing problems, identification of alternative solutions, providing recommendations, writing reports, and accomplishing specifically assigned work.
- Perform workflow management functions as needed to ensure timely directorate response to external and internal suspense(s) and tasking(s). Necessary workflow management functions shall include: receiving suspense/tasking notices and details from several sources; analyzing suspense/s and taskers for execution assignment; assigning the proper action organizations, action officers and suspense dates; tracking, consolidating and coordinating responses into a single PEO or directorate-level response; senior functional or Program Executive Officer (PEO) approval as needed; formally responding to the tasking organization and closing out the suspense or tasking, and; archiving completed actions to enable retrieval from archival storage and electronic records management (ERM) systems.
- Support staff leadership, supporting teams, and other office personnel when requested by maintaining MS Outlook calendars and schedules of leadership personnel within the organization to maintain accuracy and facilitate office operations.
- Advise and assist with the generation and implementation of procedures for typing, filing, copying, paper shredding, destruction of sensitive data, and control of documentation, correspondence, and action items.
- Review documents for accuracy of data, procedural compliance, and error-free documentation.
- Answer telephone calls, convey messages for staff, and perform other administrative tasks as assigned.
- Plan and coordinate meetings to include video teleconferencing and room set-up, including but not limited to ensuring sufficient seating and when needed providing name placards.
- Provide support for internal and external briefings and reports by providing expert knowledge and capability in the use of personal computers and operating systems to produce slides, view graphs, briefing charts, and other graphics using appropriate software applications and SharePoint.
- Assist in improving internal management processes by proposing and/or implementing improvements to visual, computer-based communications used by the organization to manage its critical processes.
- Provide support to develop internal and external briefings and reports.
- Provide support in filing and retrieving graphics materials to facilitate research and expedite the creation of briefings and reports; compiling and preparing briefings and reports in both electronic and hard copy to use for special and/or recurring reports and provide assistance during briefings.
- Perform workflow management functions as needed to ensure timely organization response to external and internal suspenses and taskings. Necessary workflow management functions shall include: receiving suspense/tasking notices and details from several sources; analyzing suspenses and taskers for execution assignment; assigning the proper action organizations, action officers, and suspense dates; tracking, consolidating and coordinating responses into a single organization-level response; receiving OPS, senior functional, or PEO approval as needed; formally responding to the tasking organization and closing out the suspense or tasking; and, archiving completed actions to enable retrieval from archival storage and ERM systems.
- Manage coordination and suspense control activities for inquiries from Higher Headquarters and organization staff and prepare responses for OPS Chief and/or deputy approval and provide recommendations when appropriate.
- Collaborate with Organization Senior Functional Leads and assist in managing tasks from the AFMC task management system database.
- Monitor the division's organizational workflow e-mail account and distribute information and/or execute taskings as required, providing responsive support to organization leadership and divisions.
- Assist with maintaining databases and producing spreadsheets, graphics and other specialized products, and facilitating the use of standardized automated forms, performance reports, materials procurement, maintenance and disposition, as well as other periodic or ad hoc reports.
- Support the planning, formulation, editing, development, coordination and publication of finished products, e.g., program documentation, plans, directives, reports, briefings and other presentations, as required (technical and non-technical; classified and unclassified) in the media and format requested, ensuring compliance with DoD policies and the current revision of the Tongue and Quill (Air Force Handbook 33-337).
- Assist to serve as the focal point to consolidate, assemble, and visually display materials for staff meetings, prepare a weekly agenda, schedule special topics, prepare copies for attendees, and set up and operate conference room equipment.
- Provide support to retrieve data or information in the form of queries and reports, maintenance of tracking systems for identification of deficiencies and corrective actions/closure, and in preparation of documentation for Government review and approval.
Education, Requirements and Qualifications
- Clearance: Secret
- Bachelor's Degree in a related field and up to three years of experience in the respective technical/professional discipline being performed or,
- Five years of directly related experience with proper certifications
- Expert knowledge and capability to use personal computers to produce visual aids (slides, view graphs, briefing charts and other graphics) using standard USAF software applications
