Lawrence Berkeley National Lab's (LBNL) Energy Technologies Area Office has an opening for a Senior Administrator to join the team. In this exciting role, you will ensure the delivery of a range of advanced and complex administrative, operational, project coordination, and business services to the ALD and the Area Leadership Team using a high level of independent judgment, initiative and discretion. The Sr. Administrator takes initiative and innovative approaches to resolve highly intricate and sensitive matters, and identifies appropriate solutions to a variety of complex operational, scheduling and travel needs. The Sr. Administrator is responsible for managing the communications with high-level internal and external stakeholders, and clients, and for keeping the ALD and Area Office Management Team apprised at all times of these communications. The incumbent will frequently serve as Lead to coordinate Area-wide and high-visibility strategic events. Additionally, the Senior Administrator is actively engaged in the continuous improvement of workflow and various business processes. Position reports to the Area Office Business Manager. What You Will Do:
Oversee the management of the ALD's complex and rapidly changing calendar, scheduling one-on-one and large group meetings including presentations, use of zoom and occasionally Microsoft Office Teams; interact with all levels within LBNL, DOE, the University of California, and other high-profile organizations. Manage all travel arrangements for the ALD by using Lab travel systems including preparing and managing complex domestic and international travel arrangements, detailed itineraries, briefing materials, changes to travel arrangements, and assist with obtaining foreign visas. Initiate and respond to requests/inquiries on behalf of the ALD, tracking impending deadlines and keeping the ALD and Area Office Management Team of ongoing activities and deadlines.
Utilize professional judgment to assist with the administration of the email inbox for the ALD to proactively triage, direct and respond to correspondence, determining appropriate course of action and facilitating/initiating effective resolution in consultation with the Area's Business Manager.
Maintain absolute confidentiality and discretion using sound professional judgement in order to effectively address sensitive issues that come before the ETA Leadership Team. Effectively and diplomatically, communicate (verbally and in writing) with all levels of management and scientific staff within LBNL and external institutions. Plan, anticipate, and coordinate major administrative activities and understand the overall priorities of ETA. As assigned, manage projects with a variety of scope, size and multi-dependent activities. These include but are not limited to specialized projects as a result of Area-driven initiatives. Serve as Lead or as part of a team to coordinate, organize and provide logistical support to the Area Leadership team of Area-wide and high-visibility strategic events, which may include Area reviews, Town Hall meetings, workshops, high-level visits and events; size of events can range from a few people to over 100; events and meeting often involve extensive use of Zoom. Use advanced analytical skills to develop and recommend solutions to complex, non-routine operational challenges, then implement new procedures and process improvements. Understand the ALD and Area priorities to determine proper course of action to effectively manage activities and interactions by level of priority; consult with the Area Office Business Manager as needed. Handle logistics for the ALD in collaboration with DOE, National Lab representatives and other organizations external to LBNL. Ensure compliance with Laboratory policy pertaining to meals and reimbursements for activities requiring food, large numbers of participants, out-of-town visitors, and DOE senior level visitors. Responsible for various special projects requiring independent research and analysis. Exercise sound professional judgement and discretion to quickly identify situations that should escalate. Work on site 3 - 5 days per week based on business needs.
What is Required:
2-6 years related and significant experience in support of an executive office, including demonstrated skills in effectively responding and prioritizing in a fast-paced environment, managing multiple priorities, deadlines, and high-impact, sensitive issues or an equivalent combination of education and experience. Experience arranging and rearranging complex travel; and processing travel approvals and expense statements. Experience with all aspects of event planning. Demonstrated ability to manage complex and dynamic calendars with a tactful approach. Exceptional interpersonal and communications skills including verbal and written communications skills. Ability to act as point of contact and communicate on behalf of executive level leadership, interacting effectively with a wide variety of internal and external contacts at various levels. Advanced capability in Microsoft Office Suite (Word, Excel, PowerPoint), Zoom and Google applications. Ability to produce professional quality, error-free documents, reports and presentations. Ensure excellent, professional, customer-focused administrative support. Work effectively in a fast-paced, high profile environment. Anticipate and plan for contingencies and be able to handle unexpected situations. Able to function effectively as a team member and/or to lead a team of administrative staff. Demonstrated excellent judgment, high ethical standards for daily conduct, and excellent discretion. Ability to anticipate and identify service needs and recommend solutions. Provide quality assurance for work and processes. Ability to appropriately follow, analyze, and interpret policies and procedures. Demonstrated ability to develop and maintain effective relationships with all constituents including senior level internal and external stakeholders and interact in a professional manner. Demonstrated ability to navigate complex professional/organizational networks as needed must be dependable and be able to work extended hours when needed. Experience adapting to change.
Desired Qualifications:
Proficiency in the use of Microsoft Office Teams. Comprehensive knowledge and substantial experience providing executive office support in a research, academic or similar environment. Ability to appropriately follow, analyze, and interpret DOE, LBNL, UC and ETA policies and procedures of particular governing institutions.

This is a full-time, career appointment, exempt (monthly paid) from overtime pay. This position is represented by a union for collective bargaining purposes. The full salary range for this position is $85,572 - 144,396. The budgeted salary range that the Lab reasonably expects to pay for this position is $102,689 - 113,386. Salary offers will be commensurate with the final candidate's qualification and experience, including skills, knowledge, relevant education, and certifications, and also aligned with the internal peer group. Salary will be determined based on range by collective bargaining agreement. This position is subject to a background check.
