About the Role This position is responsible for ensuring administrative and clerical functions are supported on a daily basis as it relates specifically to the Columbia, MD Office and staff. The position will provide immediate and direct back-up support to office administrative staff. Additional responsibilities will include assisting with employee engagement activities; being a resource to office staff (e.g. system applications) and ensuring the office is effectively maintained on a regular basis. This position will provide purchase order and contracts support as needed. This position reports directly to the Office Administrator. Compensation: $25-28 per hour. What You Will Do Front Desk: This position is responsible for serving as the first point of contact for visitors to the Columbia Regional Office and providing general office duties as assigned. This includes but is not limited to:
Resource for maintaining calendars for visitor offices and conference rooms. Update and distribute employee phone list as needed. Prepare and process outgoing and incoming mail - regular USPS and courier UPS or local delivery service. Receive and track incoming deliveries. Track inventory and daily up-keep of conference rooms, cafe and supply/storage room. Track & order supplies on a weekly basis or as needed. Maintain daily operation of cafe, pantry, and conference rooms. Ensure all copiers and printers are fully stocked with paper on a daily basis - regularly check toner status and replace and/or order as needed. Ensure all office common areas are clean, neat and organized - front lobby/reception and conference rooms. Schedule small and large group meetings; coordinate lunch and/or breakfast meetings possibly involving ordering food on an as needed basis.
Office Coordinator: Assist in keeping the needs of day-to-day operations within the Columbia office functioning effectively. This will require maintaining a professional and working relationship with all levels of staff as well as with any onsite visitors and consultants.
Provide assistance to corporate visitors, consultants, and vendors. (i.e. copying, printing, scheduling, etc.) Assist in implementing Columbia Regional Office's Culture & People initiatives and activities - internal and external as directed. Partner and collaborate with other support staff to share ideas; quick tips; etc., to enhance the effectiveness of processes. Oversee the daily employee lunch program via the ezCater Relish Program. Provide back-up coverage as needed. Assist staff with special projects as needed. Research, prepare, and edit documents, reports, in addition to presentations, as requested. Provide administrative support with respect to Coupa purchase orders, work orders and contracts as needed by preparing and tracking for various team members. Daily expense reporting within the Navan application. Offsite Storage: Retrieve and return file/storage boxes as needed and track status. Assist with internal office moves at the direction of the Manager, Business Operations & Administration. This list is not meant to be "all-inclusive" and other job-related duties may be assigned. About You
High School Graduate with a 2-year College Degree or equivalent office experience required. Minimum 5 years of administrative support with a minimum of 3 years in a corporate office environment. Must have the ability to work independently with little or no supervision on a regular basis. Working knowledge of all Microsoft Office 365 applications. Knowledge of Coupa, iCertis, SalesForce applications helpful. Experience with purchase orders, contracts and work orders preferred. Strong relationship building with all levels of staff. Excellent interpersonal, verbal, and written communication skills. Ability to interact with all levels within the organization. Handle a dynamic work environment with competing priorities along with the ability to stay organized required. A team player who can multi-task and is self-directed. Exercise sound judgment when making decisions. Good problem solver/creative thinker. "Can-do" attitude, pro-active and resourceful. Must be able to lift up to 25 lbs.
