About This Role

The Kansas Child Care Training Opportunities (KCCTO) team, within the College of Health and Human Sciences, is looking to hire an Operations Specialist to join their team. This position will be responsible for supporting Cape, the Kansas early childhood workforce registry, through managing operational workflows, monitoring system support tickets, and coordinating communications with IT to address system issues and implement process improvements. The Operations Specialist will optimize processes to ensure efficient resolution of technical problems and maintain smooth system functionality. This position reports to KCCTO's Assistant Director of Workforce Systems.

Specific duties include, but are not limited to:



  • Monitor ticket queues, track status, and coordinate assignment or escalation of issues as needed
  • Communicate regularly with IT, leadership, staff, and partners related to bugs, outages, and resolution progress
  • Develop and maintain operational dashboards and reports on ticket volume, resolution times, and recurring issues
  • Identify trends and systemic issues and recommend process or technical improvements to leadership
  • Coordinate the review and processing of statewide training applications, ensuring workflows move efficiently and reviews are completed according to established policies and timelines
  • Track review outcomes and facilitate the communication of approval status and system updates to training organizations and developers
  • Manage the trainer application process by reviewing submissions for completeness, verifying documentation, and assigning trainer permissions to qualified applicants
  • Collaborate with the Lead System Support Specialist and supervisor to interpret operational data and inform team priorities
  • Participate in small-scale projects related to system updates, rollouts, and integration improvements
  • Support training efforts by maintaining documentation and providing resources related to system workflows and best practices
  • Compile and distribute regular operational performance reports to leadership and stakeholders

Kansas Child Care Training Opportunities, Inc. (KCCTO) is a state-wide training office dedicated to providing quality, accessible, professional development opportunities to family childcare providers, childcare center staff, and other early education professionals throughout Kansas. KCCTO is a sponsored project of Kansas State University and the College of Health and Human Sciences. The mission of KCCTO is to ensure high-quality early education and care through professional development and support for those who work with and on behalf of young children. KCCTO is the current contracted agency by the Kansas Department for Children and Families (DCF) for the Infant-Toddler Specialist Network, the Early Childhood Workforce Professional Development Program, and the workforce registry, Cape.

Worksite Description

This position is remote eligible. Candidates who live outside of the Manhattan, Kansas area may be eligible for a remote work agreement.


What You'll Need to Succeed

Minimum Qualifications:



  • Bachelor's degree or 4 years of relevant experience


Preferred Qualifications:



  • Experience with IT ticketing or service management systems (e.g., Jira)
  • Experience with customer relationship management (CRM) tools (e.g., Salesforce)
  • Experience managing or coordinating approval processes or workflows
  • Strong attention to detail and analytical skills
  • Effective communication and coordination across technical and non-technical teams
  • Proficiency in Microsoft Office Suite and web-based applications
  • Bilingual in English and Spanish
