Job Summary:

We are seeking a highly organized, detail-oriented, and customer-focused Collections Specialist to join our Accounting Team. The ideal candidate is a proactive problem-solver with excellent communication skills and a strong understanding of collections processes and accounts receivable best practices. They thrive in a fast-paced environment, are comfortable managing a high volume of accounts, and are skilled at navigating sensitive conversations with professionalism and empathy.

This role requires close collaboration with cross-functional teams, including Sales, Customer Success, Legal, and Billing, to resolve account discrepancies, address customer concerns, and support timely payment resolution. The Collections Specialist plays a critical role in supporting OpenGov's financial health by minimizing delinquencies and maintaining accurate and compliant records.

Responsibilities:
  • Proactively monitor customer accounts for past due balances and initiate timely outreach (email, phone or portal) to ensure payment.

  • Collaborate with internal teams (Sales, Customer Success, Legal) to resolve billing disputes, credit memo requests, and escalated payment issues.

  • Negotiate for payment with customers as necessary, while maintaining a professional and empathetic approach.

  • Record and reconcile customer payments, adjustments and notes in various systems (e.g., NetSuite, Salesforce).

  • Track and manage accounts in collections stages using aging reports and internal KPIs.

  • Coordinate with the billing and revenue operations teams to ensure invoices are accurate and timely.

  • Prepare and present regular reports on collection activities, delinquency trends, and risk assessments.

  • Recommend process improvements to reduce DSO (Days Sales Outstanding) and enhance the collections workflow and reporting.

  • Maintain accurate documentation of all customer interactions and follow-ups for audit and compliance purposes.

  • Support billing team by assisting with miscellaneous billing tasks such as processing billable client expenses, billing for annual conferences, and processing customer auto-renewals

Requirements and Preferred Experience:
  • Bachelor's degree in Accounting, Finance or relevant job experience required.

  • Minimum of 3 years of relevant and progressive experience in collections preferred but not required.

  • Experience working in SaaS or B2B software environments preferred.

  • Understanding of government procurement processes and payment cycles preferred.

  • Familiarity with ERP and CRM systems such as NetSuite, Salesforce, or equivalent platforms preferred.

  • Excellent verbal and written communication skills, including professional customer service demeanor.

  • Proven ability to manage high volumes of accounts and prioritize tasks effectively.

  • High attention to detail and a results-oriented mindset.

  • Self motivated individual, with a positive attitude who can collaborate well.

  • Knowledge of basic office admin with touch typing capabilities and general accounting knowledge REQUIRED

$55k - $75k

On target ranges above include base plus a portion of variable compensation that is earned based on company and individual performance.

The final compensation will be determined by a number of factors such as qualifications, expertise, and the candidate's geographical location.
