ESSENTIAL DUTIES & RESPONSIBILITIES

Customer Onboarding & Documentation
* Collaborate with Sales to confirm hospital details, initiate vendor setup, and collect necessary documentation for onboarding.
* Review and verify submitted documents for completeness and accuracy before submitting to the Credit team.
* Partner with Billing and Supply Chain to ensure accurate customer setup for seamless order fulfillment and invoicing.

Account Setup, SAP Maintenance & Contract Routing
* Act as a liaison between Sales, Shared Services, and Logistics teams for new hospital account setup, contract review, and consignment processes.
* Perform new representative setup in SAP, ensuring proper alignment with customer accounts, pricing structures, and consignment locations.
* Route contracts for signature and follow up to ensure timely processing and proper documentation retention.
* Ensure customer pricing and consignment details are aligned with account setup to support seamless order entry, delivery, and billing.
* Track account setup progress, maintain internal logs, and flag delays or missing information.
* Assist with resolving cross-functional inquiries and coordinate internally to ensure order processing readiness.
* Coordinate with the National Account Manager for facility setups and pricing related to GPO/IDN contracts to ensure alignment with contract terms.

Account Monitoring & Support
* Monitor and support account aging processes in partnership with Billing and Credit.
* Help address outstanding balances or documentation issues to support timely invoicing and payment collection.
* Maintain strong customer and internal relationships by providing timely follow-up and issue resolution.

  • Excellent written and verbal communication skills.
  • Demonstrated ability to manage cross-departmental initiatives and follow through on complex tasks.
  • Strong SAP experience required; proficiency in customer master data, account creation, and document tracking in SAP is essential.
  • Proficiency in Microsoft Excel; experience with other ERP or CRM systems is a plus.
  • Ability to work independently in a fast-paced, remote/hybrid environment and across multiple time zones.

  • Maintain professional conduct, attendance, and high ethical standards in the work place, complying with company's policies and procedures.
  • Fulfill mandatory training requirements applicable for department and job duties as appropriate.
  • Perform other duties and responsibilities as required or requested by supervisor or Management.

Associates (preferred)
High School (required)
Experience
Sales Force or similar systems (preferred)
3 years: SAP (required)
3 years: Customer account coordination, billing, credit, or receivables management; healthcare industry experience preferred. (required)
