JOB SUMMARY

Under limited supervision, the Administrative Assistant shall provide general clerical and customer service support by implementing and following administrative systems, procedures, and policies, monitoring administrative projects and assisting in the production of reports.

MAJOR/ESSENTIAL FUNCTIONS

  • Provide timely support to laboratory technical and administrative staff by effectively addressing clerical needs
  • Greet and interface with customers, both via phone and in person, ensuring they have positive experience through addressing their needs and concerns in a timely, positive manner
  • Maintains workflows by becoming familiar with existing methods, common practices, and reporting procedures
  • Revises systems and procedures by analyzing operating practices, recordkeeping systems, forms control, office layout, implementing changes
  • Provides information by answering questions or inquiries from both internal and external customers
  • Maintains necessary supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting supply orders; verifying receipt; and maintaining an orderly storage system
  • Thoroughly and accurately fills out and completes documents such as chain of custody forms
  • Maintain an effective filing storage system, allowing for quick retrieval of documents
  • Execute basic office clerical duties such as copying, filing, faxing, forms/document management,
  • answering phones, directing client inquires to appropriate parties and distributing mail
  • Assist with the coordination and production of reports
  • Assist with various HR functions
  • Contributes to team effort by accomplishing related results as needed

REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES

Job Requirements:

  • General knowledge of office systems.
  • Ability to navigate and work within various computer software programs (i.e.; Microsoft Word and Excel)
  • Ability to independently prioritize workload and complete assigned tasks within communicated timelines
  • Excellent customer service and communication skills
  • Must possess above average organization skills and be able to maintain neat and orderly systems and workspace
  • Must display a positive and enthusiastic demeanor while interfacing with clients and throughout the execution of all duties

Education & Experience:

  • High school degree or equivalent is required
  • Experience working with applications within the Microsoft Office Suite is required
  • Prior customer service experience is preferred
  • Prior office administrative experience is preferred

Working Conditions:

  • While performing the duties of this job, the employee will be in a general office environment.
  • The noise level in the work environment is usually moderate.
  • This job may require travel less than 20%
