Job Description

The Portal Specialist / Sales and Use Tax Coordinator is a dual-role position responsible for managing digital portals used for customer invoicing, while ensuring compliance with sales and use tax regulations across multiple jurisdictions. This role requires strong technical aptitude, attention to detail, and the ability to collaborate across departments.



Key Responsibilities:


Portal Specialist Duties:



  • Submit and manage invoices via customer-specific portals (e.g. Ariba, Coupa, SAP)
  • Monitor portal activity to track payments, disputes, and remittance details
  • Resolve invoice rejections, short payments or disputes by coordinating with internal departments (Sales, Customer Service) and external customer


Sales and Use Tax Coordinator Duties:



  • Interact with customers to obtain sales tax exemption certificates
  • Review and validate sales and use tax sales tax exemption certificates with frequent order review to confirm correct tax status
  • Stay current on changes in tax laws and regulations and apply updates to processes
  • Assist with internal and external audits by providing documentation and support

Requirements

  • 5+ years' experience with sales and use tax
  • Strong communication, time management and organizational skills
  • High attention to detail and data accuracy
  • Strong working knowledge of Microsoft Excel and ERP systems


Preferred Qualifications:



  • Experience with Microsoft Dynamics NAV
  • Familiarity with tax software (e.g., Avalara) and ERP systems
  • Proficiency in supplier/customer portals (Ariba, Taulia, Coupa, WAWF, etc.)

Pay Range:


The pay range on this posting applies to the role in the primary location specified. If the candidate would ultimately work outside of the primary location posted, the applicable range could differ. Actual starting pay is determined by a number of factors including relevant skills, qualifications, and experience.
