Overview

The Customer Service Representative plays a key role in ensuring smooth daily operations and an exceptional experience for visitors, patients, and staff. This position manages front desk responsibilities, supports administrative functions, and contributes to the overall efficiency of the branch. The role is well suited for someone with strong communication skills, a professional demeanor, and the ability to handle multiple priorities in a fast-paced healthcare environment.

Key Responsibilities
* Greet and direct visitors, creating a welcoming and professional environment
* Answer and manage phone calls promptly, ensuring accurate message handling and clear communication
* Support supply tracking and reordering of office and medical materials
* Assemble and maintain admission packs, file documents accurately, and keep policy manuals up to date
* Provide clerical support to managers and supervisors, including report preparation and general office tasks
* Uphold high customer service standards for both internal and external stakeholders
* Assist in maintaining a clean and organized office environment and support internal activities that promote teamwork
* Follow all agency policies, accreditation standards, and federal and state regulations, including HIPAA compliance

Qualifications
* High school diploma required
* Strong verbal and written communication skills
* Proficient in basic office procedures with good telephone etiquette
* Prior general office experience required; healthcare experience in settings such as hospitals, hospice, or long-term care preferred

Work Environment
This position primarily operates in an office environment and involves extensive computer and desk work. This role functions in a professional office setting. The environment is typically quiet to moderate in noise level and requires regular use of computers, telephones, and standard office equipment. Occasionally lift or move up to 15 pounds (e.g., files, office supplies, or equipment).
