Job Summary
The Grants Coordinator supports the full life cycle of grants across government, foundation, and corporate funding streams. This position assists in developing, submitting, and managing grant proposals and reports, ensuring compliance with all funder requirements. The role collaborates closely with program, finance, and development teams to maintain timely submissions, accurate records, and strong funder relationships that sustain VOA Oregon's mission and strategic priorities.
Education & Experience
* Bachelor's degree in a related field such as nonprofit management, public administration, business administration, or communications, or an equivalent combination of education and professional experience that provides the knowledge and abilities required to perform the role effectively.
* Minimum of two years of experience in nonprofit fundraising, grant coordination, or grants management.
* Experience with Raiser's Edge NXT or other fundraising databases preferred.
* Experience assisting with the preparation and formatting of proposals, attachments, and required forms for submission through funder portals.
* Experience coordinating meeting logistics, calendars, and reminders related to proposal timelines and funder deadlines.

Essential Job Duties
* Prepares and submits grant proposals that align with agency priorities and funder requirements by coordinating content, gathering data, and developing supporting materials to produce complete and timely submissions.
* Tracks and manages post-award deliverables by monitoring deadlines, documentation, and compliance to ensure timely progress reports and adherence to contractual obligations.
* Supports grant reporting and evaluation by gathering quantitative and qualitative data from programs and finance to produce accurate reports and summaries that reflect funder expectations and agency outcomes.
* Maintains complete and accurate grant records in the Raiser's Edge NXT or comparable CRM system to support efficient reporting and audit readiness.
* Researches funding opportunities that align with programmatic and organizational goals by reviewing funder databases, websites, and funding announcements.
* Coordinates internal communication across departments to collect required narratives, budgets, and data for proposals and reports, ensuring clarity and consistency of information.
* Assists with funder engagement activities such as scheduling site visits, coordinating follow-up correspondence, and maintaining funder relationship documentation.
* Collaborates with the Development Team to identify emerging needs and assist with data requests and cross-departmental initiatives that strengthen grant readiness and stewardship.
* Performs additional related duties as assigned to support departmental and organizational goals.
Knowledge, Skills, & Abilities
* Knowledge of grant development and compliance processes, including proposal preparation, post-award tracking, and reporting requirements.
* Knowledge of government and private funding mechanisms and regulations applicable to nonprofit grant management.
* Knowledge of data management practices and the use of CRM systems such as Raiser's Edge NXT.
* Skilled in professional writing, editing, and document preparation to produce clear, accurate, and persuasive materials.
* Skilled in organizing and managing multiple projects with competing deadlines while maintaining accuracy and attention to detail.
* Skilled in using Microsoft Office Suite, particularly Excel and Word, for data tracking and document management.
* Ability to interpret grant guidelines and ensure compliance with agency and funder requirements.
* Ability to communicate clearly and professionally with internal and external partners in writing and verbally.
* Ability to maintain confidentiality, exercise sound judgment, and demonstrate integrity in handling sensitive or proprietary information.
* Ability to work independently and collaboratively in a fast-paced environment with minimal supervision.
Other Eligibility Requirements
* Must complete a criminal history background check and receive authorization from the State of Oregon's Background Check Unit.
* Must not be excluded from participation in federal healthcare programs, including but not limited to listings on the Office of Inspector General (OIG) List of Excluded Individuals/Entities and the System for Award Management (SAM) exclusion list.
* Must be legally authorized to work in the United States without sponsorship.
Travel Requirement
* This position does not require regular business travel. Occasional overnight travel may be necessary for training, meetings, or other business needs.
