Advancement Services provides timely, accurate and actionable resources to enhance fundraising and engagement activities at NC State University. We achieve this through effective business intelligence and reporting, compelling donor research and analysis, innovative technology, quality donor and alumni information, and superior customer service, all while applying ethical gift and data management practices. Advancement Services supports the operations of Alumni Engagement and Annual Giving, University Development & University Communications. The unit oversees all advancement applications and reporting systems including the University's alumni & donor CRM, Kindsight ascend on Salesforce, generates data reporting and analytics, processing gifts and conducting research about potential contribution opportunities. Advancement Services also maintains financial records, receipts corporate & individual private gifts following the NC State Standard Operating Procedures for Acceptance of Gifts, updates & verifies alumni and donor records, manages donor prospect tracking systems, plans and manages gift agreements & endowment reports, and evaluates donor naming opportunities.
The Office of Gifts & Records Management (GRM) is a sub-unit of Advancement Services and is charged with maintaining financial records, receipting private gifts according to the University's Gift Acceptance Policy and administering the corporate matching gifts program. GRM processes private donations to the university. This team is responsible for recording and maintaining alumni and donor information, providing biographical and gift processing, and ensuring that all contributions are receipted in a timely manner. Processing and acknowledgment of private gifts to the university include gifts of cash, credit card, securities and gifts-in-kind. Biographical updates processed in the university's alumni and donor database include notification of name changes, change of address, employment information, job promotions, marriages, births, deaths and research of lost alumni. GRM's functions primarily support the part of UA's mission related to raising money from private sources, managing the collection of private gifts for the university and managing an effective alumni and development database and gift system.

Essential Job Duties
Reporting to the Associate Director of Gift Records, the Gift Specialist plays a critical role in maintaining the accuracy and integrity of the University's alumni and donor database. The person in this role is responsible for the daily entry and auditing of private charitable gifts received through postal mail, email, phone solicitations, online platforms, and in-office credit card transactions.
Key Responsibilities

  • Research, enter, and maintain charitable gift records in the University's alumni and donor CRM, Kindsight Ascend on Salesforce.
  • Ensure accurate processing of all gift types, including cash, checks, securities, and other non-cash contributions.
  • Analyze gifts and review transmittals and documentation to determine appropriate processing. Ensure IRS, CASE and NCSU guidelines related to gift processing are met.
  • Generate and review daily proof reports for each gift batch to verify accuracy and completeness.
  • Create new biographical records for donors, prospects, and corporate entities as needed.
  • Maintain and update biographical data such as addresses, phone numbers, email, employment details, relationships, and other constituent information.


This position requires a high level of attention to detail, discretion, and a commitment to data integrity in support of the University's advancement efforts.
Other Responsibilities
Other gift and records management related duties as assigned for Advancement business operations.
Qualifications




Minimum Experience/Education
High School Diploma or equivalency and one year of related office experience; or equivalent combination of training and experience.
Preferred Qualifications

  • Proficiency in database software is required; experience with relational database systems and gift accounting is preferred.
  • Proficiency in working with computers, software applications, and generating reports is essential.
  • Expertise in financial and statistical record-keeping techniques.
  • Exceptional oral and written communication and interpersonal skills, utilizing tact, patience, and courtesy.
  • Proven ability to multi-task, adapt to change, and perform effectively under pressure in a fast-paced environment; overtime is required during peak periods (e.g., year-end, Day of Giving).
