Your Role on the Team

Position Summary:

Under the general direction of the Admissions Department Assistant Director, incumbent is responsible for the financial outcomes of the assigned units within the Admissions Department . Maintains the operations, planning, allocation, and evaluation of these units within Admissions Department. Responsible for daily processing to include outside vendor staff and workload. Acts as central control point for admitting issues. Represents UCI Admission Services as MSI coordinator, CCS coordinator and all governmental agencies. Maintains and coordinates the Admissions & Registration ADT system (SMS Invision). Communicates with patients, physicians, staff and visitors, demonstrating caring and reflecting the UCI Medical Center Mission and Strategic Plan. Coordinates staff training, development and unit management. Responsibilities are expected either independently or with minimal direction by
Admissions Department Assistant Director. Specific duties include managing Human Resources, monitoring unit budgets, assuring that the standards of operation of the department are in compliance with regulatory agencies. Participates on departmental and medical center-wide performance improvement projects. Serves as a role model and resource to colleagues, staff, and others.

Required Qualifications:

  • Strong skills in quality customer service and interpersonal skills to interact with and effectively collaborate with all constituent groups, including patients and families and clinical and administrative personnel across departments
  • Strong leadership skills to coach, monitor, and strengthen staff performance
  • Strong knowledge of medical terminology and technical and operational principles of hospital admissions, including concepts, best practices, protocols, quality improvement, technologies, confidentiality issues, HIPPA, and other applicable regulatory policies
  • Strong knowledge of all relevant policies, protocols, regulations, and organizational objectives
  • Strong knowledge of Microsoft Office suite (Word, Excel, Outlook, PowerPoint) and other relevant hardware and software systems
  • Strong critical thinking, problem solving, and analytical skills, including the ability to quickly analyze complex problems, determine the appropriate level of intervention, and develop and apply solutions
  • Must possess the skill, knowledge, and ability essential to the successful performance of assigned duties
  • Must demonstrate customer service skills appropriate to the job
  • Minimum five (5) years of relevant, related work experience in the managed care, admissions, and registration
  • Excellent written and verbal English communication skills
  • Demonstrated skill to convey complex information in a clear and concise manner
  • Demonstrated knowledge of managed care, contracting and federal billing guidelines
  • Demonstrated knowledge of financial, registration, and admitting systems
  • Demonstrated ability to provide thorough and accurate review of complex subordinate work and oversee coordination of ongoing tasks and projects over extended periods of time
  • Demonstrated ability to effectively supervise and prioritize the activities of subordinate staff and manage the complex workflow and multiple priorities of admissions and registration
  • Demonstrated ability to apply sound judgment in ambiguous situations and effectively manage change
  • Bachelor's degree in business administration, healthcare administration, or related field and/or equivalent combination of education, training, and experience
  • Ability to maintain a work pace appropriate to the workload
  • Ability to establish and maintain effective working relationships across the Health System
  • 3 years experience in admitting management and/or supervision
