PRIMARY DUTIES AND RESPONSIBILITIES

  1. SURGICAL SERVICES
  1. Assists in the ongoing development and administration of hospital and department Quality Improvement program.
  2. Practices proper safety techniques in accordance with hospital and departmental policies and procedures. Immediately reports any mechanical or electrical equipment malfunctions, unsafe conditions, or employee/patient/visitor injuryaccident to Manager.
  3. Responsible for collecting and organizing patient documentation.
  4. Schedules surgical procedures for the Operating Rooms for cases that have already occurred. Ensures case is accurately placed in all appropriate computer systems.
  5. Resolves all post-case conflicts and works directly with other departments to ensure accuracy.
  6. Telephones patients or physicians' offices daily to confirm appointments, where appropriate.
  7. Maintains log of operative records, laser usage, Lithotripsy patients and implant log for all Northside Hospital surgical facilities.
  8. Enters patient charges for both OR and Anesthesia.
  9. Verifies the accuracy of entered data and corrects errors. May verify totals on documents such as reports and patient documentation.
  10. May file, order supplies, answer phones, and take messages
    1. Schedules Pre-Surgical Assessment appointments for PSA. Ensures appointments are accurately placed in appropriate area and time slots.
  1. RADIOLOGY AND PATIENT ACCESS
  1. Serves as initial patient contact, initiates patient record and account and prepares patient for imaging procedure. Greets patients and families in a welcoming and caring manner, courteously assists callers with information and directions.
  2. Compiles patient records and prints schedule in preparation for daily appointments. Pre-registers patients as time allows if applicable.
  3. Interviews, verifies, and performs accurate data entry of patient demographics, insurance coding, and medical information to ensure integrity of records and minimize claims denials if applicable.
  1. Educates patients and maintains compliance with Medicare Secondary Payer guidelines through accurate completion of questionnaire for every appropriate patient encounter, and with HIPAA privacy regulations and acknowledgements if applicable.
  1. Accepts upfront payments and provides appropriate patient receipts. Ensures proper transport and documentation is provided to Accounting if applicable.
  2. Prepares for patient Radiology procedure through accurate test order entry, preparation of patient Radiology jacket, and verification of appropriate documentation and

questionnaires.

  1. Escorts patients to testing area as needed and provides directions as applicable. Monitors patient wait times ensuring patients are seen with 15 minutes and communication as to delays, status of procedure, etc. occurs.
  2. Manages outside film "check in". Performs systems "check out" of films and prepares for transport if applicable.
  1. Orders and stocks supplies and forms. Maintains appropriate inventories to ensure adequate par levels.
  1. Maintains competency in multiple information systems programs, keeps abreast of ongoing changes, and maintains flexibility inherent in performance of job.
  2. Sustains optimal patient focus while performing job duties in a manner which conveys respect and dignity to the patients and patients' families. Manages complaint handling and service recovery in a professional manner.
  1. Faxes Radiology reports to the appropriate physician after batch printing and upon request if applicable.
  1. Coordinates same day add-ons via scheduling or the physician's office to include initiating pre-certification if applicable.
  1. Reviews, prepares, and forwards patient information to be retained in the hospital medical record in a timely manner if applicable.
  2. Assists clinical staff with safe patient handling as needed.
  3. Performs Clinical Decision Support processes as assigned to include but not limited to daily reporting, physician order input in web based portal and proper documentation of decision support criteria in radiology systems.
  1. RADIOLOGY WOMEN'S IMAGING

Responsible for duties listed in Radiology Section B if applicable and will also perform the

Following for all Breast MRI at all NSH locations, all Breast MR Biopsies at Atlanta and

Forsyth and all procedures in the Breast Care Center:

  1. Monitors patient schedule throughout the day for biopsy, MR Breast and other specified

Procedures being scheduled at several locations.

  1. Obtains all required documents, orders and images as soon as possible for radiologist preview of case and/or comparison of previous cases. Works collaboratively with referring physician's office to obtain all documentation and arrange courier as needed.
  2. Assures radiologist previews cases in timely manner and conveys results to appropriate modality and clerical area for accurate order entry.
  1. Communicates directly with scheduling to modify scheduled modalities or appointment to meet protocols.
  1. Maintains 30 day hold for procedures, pathology results and upcoming surgical cases.
  2. Efficiently utilizes computerized scheduling system to schedule screening mammograms at the Interchange, Meridian Mark and North Crescent locations as applicable.
  1. FAMILY CENTERED CARE

Responsible for duties # 7 & 8 under Surgery, # 3-5, & 10 under Northside Alpharetta, the Family Centered Care Scheduler/Secretary will also perform:

  1. Will assist in the maintenance of basic personnel records for departmental employees such as time and attendance records and personnel files.
  2. Maintain work time reports for departmental employees, entering payroll data to reflect accurate data compile in collaboration with departmental Operational Coordinators.
  3. Processes check requests. Reads and routes incoming correspondence as needed.
  4. Communicates regularly with departmental staff on a daily basis and keeps management informed.
  5. Compiles reports and forms from statistical data where information is extracted from multiple sources.
  1. SLEEP CENTER

Responsible for duties 3, 6, 9-10 of Surgical Services and 5, 7, 10-11, 13-14 of Radiology/Patient Access. Sleep Center Scheduler/Secretary will also perform the following:

  1. Serves as initial patient contact, initiates patient record and account and prepares patient for appointment. Greets patients and families in a welcoming and caring manner, courteously assisting callers with information and directions.
  2. Handles check-in and check-out of patients that includes but is not limited to registration for various associated cost centers, when applicable.
  3. Maintains competency with the Financial Estimate Tool (FET) and creates estimates in advance and on demand as needed for a more seamless patient experience.
  4. Other duties as assigned by supervision.
  1. A WELLNESS PLACE

Responsible for # 1 under Radiology Scheduling, #2, #3 & #4 under Sleep Center, #3 & #4 under Radiology and Patient Access. The A Wellness Place Scheduler/Secretary will also perform:

  1. Schedules appointments and monitors daily schedule of patient appointments.
  2. Participates in daily opening and closing procedures, including record keeping and point of sale database entries/updates.
  3. Conducts sales and cash register transactions accurately and efficiently according to departmental policies.
  4. Handles multiple tasks simultaneously while maintaining customer satisfaction.
  5. Conduct screening for Financial Assistance Applications.
  6. Provides patient education regarding the general use of clinical products not requiring a prescription.
  7. Maintains a clean, neat and safe environment, in compliance with infection control and other applicable policies.
  8. May witness patient signature of consent forms.
  9. Reviews, verifies, and performs accurate data entry of patient demographics, insurance coding, and medical information to ensure integrity of records and minimize claims denials if applicable.
  10. Educates patients and maintains compliance with Medicare Secondary Payer guidelines through accurate completion of questionnaire for every appropriate patient encounter, and with HIPAA privacy regulations and acknowledgements if applicable.
  1. PRESURGIAL TESTING AND PATIENT ACCESS
  1. Serves as initial patient contact, initiates patient record and account and prepares patient for visit. Greets patients and families in a welcoming and caring manner, courteously assists callers with information and directions.
  2. Compiles patient records and prints schedule in preparation for daily appointments. Responsible for collecting and organizing patient documentation. Assist with chart management, to include assembly, sticker application, etc.
  3. Pre-registers patients as time allows if applicable.
  4. Interviews, verifies, and performs accurate data entry of patient demographics, insurance coding, and medical information to ensure integrity of records and minimize claims denials if applicable. Facilitates the gathering of information for insurance/billing questions as requested by patients. May assist patients with forms and applications. Reviews for completeness and makes corrections of a routine nature.
  5. Educates patients and maintains compliance with Medicare Secondary Payer guidelines through accurate completion of questionnaire for every appropriate patient encounter, and with HIPAA privacy regulations and acknowledgements if applicable. Maintain confidentiality with client records and sensitive issues or documents.
  6. Accepts up-front payments and provides appropriate patient receipts. Ensures proper transport and documentation is provided to Accounting if applicable.
  7. Escorts patients to testing area as needed and provides directions as applicable. Monitors patient wait times ensuring patients are seen with 15 minutes and communication as to delays, status of procedure, etc. occurs.
  8. Answers phones (operator, appointment, back office lines, etc.) in compliance with service goals. May file, print, copy, fax, and take messages. Receives and screens calls and visitors, responding to routine inquiries with standardized information.
  9. Accurately schedules all categories of appointments - new, return/office, follow-up, pre-op, post-op, procedure, consultation, etc. Telephones patients or physicians' offices daily to confirm appointments, where appropriate.
  10. Orders and stocks supplies and forms. Maintains appropriate inventories to ensure adequate par levels. Responsible for inventorying and coordinating equipment repair/maintenance.
  11. Maintains competency in multiple information systems programs, keeps abreast of ongoing changes, and maintains flexibility inherent in performance of job.
  12. Sustains optimal patient focus while performing job duties in a manner which conveys respect and dignity to the patients and patients' families. Manages complaint handling and service recovery in a professional manner.
  13. Reviews, prepares, and forwards patient information to be retained in the hospital medical record in a timely manner if applicable.
  14. Assists clinical staff with safe patient handling as needed.
  15. Assist with confirmation of lab and testing results.
  16. Communicates regularly with departmental staff and management on a daily basis.
  1. INTERVENTIONAL PAIN AND SPINE CARE
  1. Serves as initial patient contact, initiates patient record and account and prepares patient for visit. Greets patients and families in a welcoming and caring manner, courteously assists callers with information and directions.
  2. Compiles patient records and prints schedule in preparation for daily appointments. Responsible for collecting and organizing patient documentation. Assist with chart management, to include assembly, sticker application, etc.

OUTPATIENT CLINICAL NUTRITION

  1. Serves as initial patient contact, initiates patient record and account and prepares patient for visit. Greets patients and families in a welcoming and caring manner, courteously assists callers with information and directions.
  2. Schedules appointments and monitors daily schedule of patient appointments. Exhibits attention to detail and documents all touchpoints of patient contact or attempted contact.
  3. Interviews, verifies and performs accurate data entry of patient demographics, insurance coding and medical information to ensure integrity of records and minimize claims denials if applicable.
  4. Gathers insurance information and verifies coverage of requested services.
  5. Accepts up-front payments and provides appropriate patient receipts when appropriate.
  6. Communicates via phone and email to confirm patient appointments, location and pre-appointment nutrition questionnaire.
  7. Maintains competency in multiple information systems and keeps abreast of ongoing changes.
  8. Sustains optimal patient focus while performing job duties which conveys respect and dignity to the patient and patients' families. Manages complaint handling and service recovery in a professional manner.
  1. MISCELLANEOUS

In addition to the duties listed above, all schedulers will be required to perform the following:

  1. Practices proper safety techniques in accordance with hospital and departmental policies and procedures. Immediately reports any mechanical or electrical equipment malfunctions, unsafe conditions, or employee/patient/visitor injuryaccident to Manager.
ADDITIONAL DUTIES AND RESPONSIBILITIES
  1. Other duties as assigned by supervisor.

REQUIRED

  • One (1) year previous medical related clerical or related experience or an associate's degree.
  • Typing requirements vary by department; see requisition for requirements.
  • CPR certification may be required by department; see requisition for requirement.

PREFERRED

  • Three (3) years previous experience in admissions or a scheduling environment.
  • Demonstrated problem-solving skills
  • Proficient in computerized input of data
  • Good communication skills
  • Fundamental knowledge and skill in utilization of computer application.
  • Level of proficiency in the use and application of MS Office (Word, Excel, and PowerPoint) varies by department, see requisition for requirements.
