The Warehouse & Logistics Manager organizes and directs all warehouse activities while managing domestic/International shipments and ensuring import/export compliance for international logistics. This role optimizes the global flow of raw materials, coordinates movement across warehouse and international locations, and ensures on-time shipping of revenue instruments to meet customer and business requirements. Key responsibilities include maintaining accurate inventory, overseeing freight consolidation, reducing transportation costs, ensuring timely delivery to customers, and supporting a seamless end-to-end supply chain. This position also strives to maintain 100% inventory accuracy through daily cycle counts.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Leadership & Team Development

  • Hire, train, supervise, motivate, and develop warehouse staff; create sustainable org structure for scale-up and cross-training.
  • Provide coaching, recognition, performance feedback, and workforce planning.
  • Promote a transparent, positive, and highly engaged team culture.
  • Ensure strong collaboration with Manufacturing, Supply Chain, Purchasing, Planning, Quality, and global Cytek warehouse teams.
  • Improve and enforce attendance standards by monitoring team attendance, providing coaching, implementing corrective actions, and recognizing strong attendance performance.

Operational Excellence & Compliance

  • Manage all warehouse activities including receiving, storage, picking, packing, shipping, and materials flow.
  • Maintain strict ownership of inventory accuracy across Fremont and all external storage locations.
  • Execute and oversee: Daily cycle counts with goal of 100% accuracy, Midyear and Annual physical inventories (and quarterly if required), Reconciliation with Planning and Inventory teams
  • Maintain an audit-ready warehouse; champion 5S, Lean, Kanban, and standardized work practices.
  • Drive continuous improvement and automation of manual warehouse processes and reporting.
  • Ensure accurate and timely shipments and daily completion of transactions.
  • Enforce safety practices, PPE requirements, forklift certification, and OSHA-compliant work environment.
  • Maintain compliance with ISO 9001, ISO 13485, SOX controls, and medical device shipping requirements.
  • Approve and implement Engineering Change Orders (ECOs) affecting materials stored onsite or externally.

Logistics & Material Flow

  • Plan, schedule, and track domestic and international shipments to ensure timely and cost-effective delivery.
  • Ensure on-time shipping of revenue-generating instruments and reagents to meet customer expectations and revenue targets.
  • Oversee international logistics including import/export compliance, documentation, customs requirements, and regulatory adherence.
  • Select, negotiate, and manage carriers, freight forwarders, and logistics partners for the best rates and performance.
  • Oversee freight consolidation strategies to reduce transportation costs and improve efficiency.
  • Manage reverse logistics including returns, repairs, and recycling.
  • Ensure ERP/WMS data accuracy and alignment between physical and system inventory (NetSuite preferred).
  • Establish systems to ensure <24-hour turnaround for Service transfer orders, MRB, rejected, and obsolete parts.

Continuous Improvement & Lean Practices

  • Maintain accurate warehouse performance metrics and deliver monthly KPI reports to senior leadership.
  • Lead resource planning, capacity analysis, and workload balancing.
  • Implement short-term containment and long-term corrective actions for shortages, delays, or missed shipments.
  • Act as the warehouse liaison for RFT (Right First Time) meetings to ensure product quality during shipment.

REQUIREMENTS & QUALIFICATIONS:

  • Bachelor's degree (B.A./B.S.) or AA with several years of experience with logistics-intensive environments.
  • 8-12 years of progressive warehouse, logistics, and inventory management experience; medical device/regulatory experience preferred.
  • Strong inventory control expertise and ERP (NetSuite preferred) proficiency.
  • Experience with Lean, Kanban, 5S, and material flow optimization.
  • Strong leadership, communication, organizational, and analytical skills.
  • Ability to manage multiple high-profile projects and meet deadlines.
  • Forklift certification preferred.
  • Very Strong computer skills (Excel, Word, PowerPoint; NetSuite experience a plus).
  • Hands-on, proactive, and detail-oriented with a sense of urgency.
  • Ability to perform physical labor as required (lifting up to 50 lbs, operating warehouse equipment).
