What We DoThe Multi-Site Coordinator supports First American's commercial title operations across multiple offices and markets. This role ensures structured project tracking, clear workflow coordination, accurate documentation, and proactive communication throughout the lifecycle of complex commercial transactions.
Key Responsibilities 1. Project Tracking & Workflow Management
- Maintain end-to-end oversight of commercial title projects across multiple offices.
- Track deliverables, document requests, outstanding items, and deadlines.
- Maintain dashboards, status reports, and tracking logs.
- Follow up with internal teams, attorneys, clients, and third-party providers to ensure workflow continuity.
2. Timeline Creation & Communication
- Establish and maintain detailed timelines for multi-site transactions.
- Distribute timeline updates to title, escrow, underwriting, and management teams.
- Communicate milestone progress and risk areas.
- Serve as the central point of contact for schedule-related inquiries.
3. Lien Chart & Document Preparation
- Assist in creating and updating lien charts for multi-parcel, multi-state transactions.
- Gather and organize title searches, UCCs, surveys, municipal docs, and certifications. Work with GO Team to ensure everything is uploaded and saved according to universal naming conventions.
- Ensure accuracy and consistency of lien chart data and supporting documentation.
- Coordinate with title production to ensure data accuracy in commitments and pro formas.
4. Cross-Team Coordination & Support
- Facilitate communication among commercial title, escrow, underwriting, and external parties.
- Organize team meetings, create agendas, and distribute action items.
- Track and coordinate delivery of commitments, pro formas, endorsements, and policies.
- Provide operational support to Title Officers and Escrow Officers.
5. Quality Control & Compliance
- Review project documentation for accuracy and compliance with First American standards.
- Support process improvement initiatives to streamline multi-site workflows.
- Maintain organized and audit-ready electronic files.
Qualifications - Required
- 2-5 years of experience in commercial title, escrow, or real estate coordination.
- Strong project management and tracking skills.
- Proficiency in Excel, SharePoint, and project-tracking tools.
- High attention to detail in data management and documentation.
- Excellent written and verbal communication skills.
Qualifications - Preferred
- Experience preparing lien charts for commercial transactions.
- Familiarity with First American systems and workflow tools.
- Knowledge of commercial closing processes and underwriting guidelines.

Pay Range:$90,450-$120,575 Annually This hiring range is a reasonable estimate of the base pay range for this position at the time of posting. Pay is based on a number of factors which may include job-related knowledge, skills, experience, business requirements and geographic location.
