Position Overview and Summary The Facilities Project Coordinator is a full-time, on-site exempt position based in Kinston, North Carolina. Reporting directly to the Facilities Project Manager, this role provides critical technical and administrative support to ensure compliance with Airbus FMRE policies and procedures. The Coordinator assists Facility and Project Managers across the North American portfolio, driving assigned projects and programs from end-to-end. This position requires a professional who can communicate effectively with stakeholders using strong verbal and technical writing skills while assisting with various miscellaneous facility tasks as needed.

Technical and Administrative Support A primary focus of this role, accounting for over 60% of the Coordinator's time, involves providing comprehensive administrative support for technical project management. Responsibilities include preparing detailed project reports and meeting minutes, as well as organizing essential project documentation such as Statements of Work (SOWs), quotes, purchase orders, contracts, budgets, and schedules. Additionally, the Coordinator supports the Facility Project Manager in building and improving standard project management procedures to ensure operational excellence and consistency across the portfolio.

Project Management and Coordination The Facilities Project Coordinator spends approximately 40% to 60% of their time supporting the broader project management team on various assignments. Key tasks include proactively managing project-related issues and ensuring client requirements are met in a timely, cost-effective manner. The role involves heavy coordination with vendors and architects to deliver plans and drawings, tracking invoices, updating schedules and budgets, and drafting Requests for Proposals (RFPs). Coordinators also maintain project management systems, transcribe punch lists, and produce monthly quality reports. Compliance with JLL policies, ethics, and codes of conduct is mandatory, as is proficiency in project management technologies and business software such as Google Workspace (Docs, Sheets, Slides).

Knowledge, Skills, and Abilities Qualified candidates should possess a Bachelor's degree or at least three years of practical experience in facilities or construction. A degree in Accounting, Business, Architecture, Engineering, or Construction Management is preferred. Applicants must have strong interpersonal skills to interact with executive-level internal and external clients, be detail-oriented, and have the ability to prioritize the differing needs of the business. Technical requirements include basic proficiency in Microsoft Office and strong knowledge of Google Workspace and project management tools like Microsoft Project. The ability to work collaboratively in a team environment with minimum supervision while multi-tasking is essential for success in this role.

Physical Requirements and Work Conditions The position requires the ability to operate standard office equipment and participate in conversations both in person and via teleconference. Candidates must be able to read computer screens, documents, and engineering drawings, and hear sounds on the production floor, including safety warnings. Physical tasks include sitting for long periods, standing for discussions on the production floor, and the ability to lift or carry documents and equipment weighing up to 30 lbs (14 kgs). The role also requires the ability to squat or kneel for item retrieval and the flexibility to travel independently on short notice.
