Paid Time Off:

Position Description

Starting Hourly Wage: $24- $26/hour; depending on experience

Location: Lynnwood, WA

Classification: Non-Exempt

Position Overview:

The Project Coordinator provides essential administrative and organizational support to the Special Projects Group, helping ensure smooth project operations and documentation management.

Key Responsibilities:

  1. Project Support
  2. Organize, scan, copy, fax, and file project-related documents.
  3. Review and proofread documents for clarity and accuracy.
  4. Maintain organized digital and physical filing systems.
  5. Coordinate the pickup, delivery, and duplication of project drawings.
  6. Assist in preparing and submitting project documentation, including submittals and operation/maintenance manuals.
  7. Support the development and coordination of red-line and as-built drawings.
  8. Manage the distribution and posting of Requests for Information (RFIs).
  9. Share project materials with team members as needed.
  10. Archive completed project documents.
  11. Estimating Support
  12. Assist with the bid process and related documentation.
  13. Coordinate client and vendor bid quotes using project management tools.
  14. Help procure bid documents through designated systems.
  15. Procurement Assistance
  16. Prepare and process purchase orders in support of project needs.
  17. Project Information Management
  18. Update and maintain project data in relevant systems (e.g., SalesLogix).
  19. Support the setup of new projects, including acquiring job numbers.
  20. Assist with closing out purchase orders and preparing subcontracts or work requests.
  21. Project Close-Out
  22. Help facilitate the completion and documentation of project close-out activities.
  23. Administrative Support
  24. Prepare and submit expense reports for the Special Projects Group Manager.
  25. Maintain regular and punctual attendance, which is essential to the role.

Secondary Responsibilities:

  1. Attend meetings and document action items and follow-ups.
  2. Manage office supplies, equipment, and materials.
  3. Handle incoming and outgoing mail, deliveries, and returns.
Position Requirements

Required Skills and Abilities:

  1. Proficiency in Microsoft Outlook, Excel, Word, Adobe Acrobat, internet browsers, and file management systems.
  2. Strong attention to detail and accuracy in administrative tasks.
  3. Professional and courteous phone communication.
  4. Excellent organizational and time management skills.
  5. Clear and effective written and verbal communication.
  6. Ability to work both independently and collaboratively.
  7. Comfortable managing multiple tasks and interruptions.

Preferred Education and Experience:

  1. At least 2 years of experience in the construction or related industry.
  2. Associate degree in Business or equivalent professional experience.

Required Licensing and Other Certifications:

  1. Maintain a valid driver's license and satisfactory driving record.
