About the Job

The School of Dentistry is excited to add a Human Resources Generalist II to the HR team!

This position plays a key role in the School of Dentistry Human Resources Office. They serve as the primary contact for residency, adjunct, and graduate assistant hiring and ongoing support. They support the HR office's efficiency by managing electronic employment records in Perceptive Content and serving as the point person for all HR TDX tickets. They maintain compliance at the school by overseeing the I-9 process for new hires and ensuring that all employees are properly trained and licensed.

After initial training, this position will be eligible for a hybrid schedule with 3 days on-site (M,W,Th, occasional other days) and 2 days remote.

General office hours are 8-4:30 with some flexibility in start and end times.

Duties include:

HR Operations & Data Management 50%

  • Oversees the electronic employment records within Perceptive Content, ensuring all documentation is accurately scanned, categorized, and filed.
  • Executes and monitors the full spectrum of HR transactions via TDX ticketing, including new hires, terminations, position modifications, and compensation adjustments; Responds to questions from requestors and ticket processors
  • Audit weekly payroll reports to ensure data accuracy; independently research discrepancies and collaborate with supervisors and Business Partners to implement necessary corrections
  • Manage the primary HR inbox, serving as the first point of contact for inquiries; resolve administrative issues independently or escalate complex matters to the appropriate HR Business Partner
  • Serves as the primary PCard holder for the office; Completes the required training to obtain a University PCard; Maintains appropriate use of the PCard; Pays office invoices; Reconciles PCard accurately in accordance with University Policies
  • Proactively monitors and replenishes office supplies, anticipating team needs to prevent shortages
  • Communicates information and answers questions regarding the employee recognition program; Monitors program funds for acceptable use
  • Other duties as assigned

Faculty and Staff Support 40%

  • Resident Support:
    • Coordinates the end-to-end onboarding lifecycle for new residents, including hiring logistics, compliance verification, and the execution of orientation sessions
    • Partners with divisions and the Advanced Education Coordinator to accurately and efficiently offboard residents
    • Consults with Program Directors to navigate complex residency requests, including program extensions, leaves of absence, and time-off tracking
  • Adjunct Faculty Support:
    • Partners with divisions to request, hire, and onboard new adjunct faculty
    • Continuously updates adjunct appointments and pay based on the adjunct roster
  • Graduate Assistant Support:
    • Supports all aspects of graduate assistant employment for the School of Dentistry, ensuring accurate data entry and contract management
    • Serves as the subject matter expert for Graduate Assistant Employment in the School of Dentistry
    • Collaborates with other University units on best practices for managing Graduate Assistants
  • Person of Interest (POI) Support:
    • Administers POI accounts for volunteers, observers, and clinical affiliates to ensure appropriate system access and records management
    • Coordinates with divisions to collect required documentation - including offer letters, volunteer agreements, and background checks, etc - for all POI types
    • Completes annual POI review to deactivate any POIs who are no longer associated with the School of Dentistry

Training and Compliance 10%

  • Monitors professional licensing requirements for clinical staff, proactively managing the notification process and processing reimbursements for license renewals.
  • Serves as a key liaison to the Compliance Officer to identify and address departmental compliance needs and regulatory updates.
  • Assigns and tracks mandatory training modules for new hires, transfers, and annual training
  • Facilitates the mid-probationary review process by assigning evaluations and following up with leadership to ensure timely feedback for new employees.
  • Creates and hosts New Employee Orientation
  • Manages the I-9 verification process for all School of Dentistry employees and maintains rigorous compliance standards for all employment eligibility documentation
  • Responds to unemployment claims on behalf of the School of Dentistry
  • HR Reporting/Analytics:
    • Provides monthly staff reporting to internal stakeholders
    • Creates and provides quarterly overtime report for HR Director
    • Serves as the office contact for external reporting requests for accreditation, compliance, etc.
Qualifications

Required Qualifications:

  • BA/BS degree plus at least two years of experience or a combination of education and/or experience to equal at least six years
  • Minimum of 1 year of experience working in a HR administrative or support role
  • Strong attention to detail
  • Excellent written and oral communication skills
  • Ability to effectively manage and prioritize multiple tasks with accuracy

Preferred qualifications:

  • Experience using Perceptive Content
  • Experience with TDX or other ticketing systems
  • Experience hosting orientation or training sessions

Pay and Benefits

Pay Range: $66,000-$76,000; depending on education/qualifications/experience
