BASIC PURPOSE

The volunteer and events coordinator will attend the front desk duties of the Napa Corps and oversee the Napa Corps facility usage for rentals and agreements. In addition, this position will coordinate volunteer participation and special events for the Napa Corps.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Office Administration



  1. Ensure the front desk is attended to during business hours, Monday through Friday.
  2. Ensure all phone calls are received and directed to the appropriate person or department.
  3. Assist with mail processing.
  4. Promote a professional and welcoming atmosphere to enhance the quality of service and care offered.
  5. Inventory and purchase office supplies.


Volunteer Coordination



  1. General office assistance, filing, reports, etc.
  2. Host and attend recruiting events within the community to attract qualified volunteers.
  3. Recruit, screen, interview, and train new volunteers.
  4. Ensure all volunteer paperwork is completed and updated on a yearly basis, and that appropriate documents are forwarded to Divisional Headquarters in a timely manner.
  5. Compile accurate statistics and reports.
  6. Create and maintain a volunteer database for the Napa Corps.
  7. Celebrate volunteer accomplishments through recognitions and celebrations.
  8. Create and post marketing materials to advertise volunteer opportunities.


Event Coordination



  1. Create and manage campus-wide facility calendar to coordinate room usage for internal meetings and activities.
  2. Coordinate, promote, book, and manage outside vendor rentals of the Napa Corps facility in partnership with the Business Administrator and Corps Officer in compliance with policy and procedure.
  3. Conduct post-event debriefs with key staff/ stakeholders to determine success and opportunities; maintain reports as needed.
  4. Coordinate event setup and break down.
  5. Oversee and/ or coordinate and assist with special events of the Napa Corps programs, including but not limited to: Christmas Toy Distribution, Angel Tree, Adopt a Family, Kettle Kick-Off, Kettles, Volunteer Appreciation, Employee Appreciation, Backpack Distribution, Thanksgiving efforts, coat drive, etc.

    1. In advance; conduct collaborative planning meetings as needed.
    2. Plan logistics, manage communication, and secure volunteers for each event.
    3. Maintain and update event files.
    4. Coordinate with Corps Officers, Advisory Board Committees, and/or staff teams involved with the events.
    5. Create briefs regarding each event.


  6. Other duties as assigned.


KNOWLEDGE, SKILLS, ABILITIES, AND OTHER QUALIFICATIONS REQUIREMENTS



  1. Must have the ability to work with and relate well with co-workers, community members and guests/ clients.
  2. Ability to prioritize work and multitask simultaneous projects.
  3. Proficiency in working with basic office computing systems and equipment
  4. Proficiency in Microsoft Word, Publisher, Excel, Access, WordPress, social media platforms, and Adobe Acrobat
  5. Ability to maintain confidentiality.
  6. Must be able to work independently
  7. Ability to read and interpret documents such as safety rules, policy, and procedure.
  8. Bilingual/Bi-literate English/ Spanish Preferred.


CERTIFICATES, LICENSES, REGISTRATIONS



  1. Must possess a valid California Class C Driver License, and ability to drive a Standard Salvation Army vehicle or to drive a DOT Regulated vehicle (non-CDL).
  2. Must be 21 years or older.
  3. Must be able to successfully pass a criminal background check to include a DOJ Livescan Fingerprint check.
  4. Complete The Salvation Army vehicle course training.


PHYSICAL REQUIREMENTS:



  1. Ability to sit, walk, stand, bend, squat, climb, kneel, and twist on an intermittent or sometimes continuous basis
  2. Ability to grasp, push, and/or pull objects
  3. Ability to reach overhead
  4. Ability to operate a telephone
  5. Ability to lift up to 35 lbs.
  6. Ability to operate a computer
  7. Ability to process written, visual, and/or verbal information
  8. Ability to operate basic office equipment and tools PC, Fax Machine, Telephone, Calculator, Copier, Printer

2 years: Bilingual/Bi-literate English/ Spanish (preferred)
