Job Summary:
The Project Coordinator supports the Refrigeration and Mechanical Construction teams by managing administrative, financial, and project coordination tasks throughout the full project lifecycle. This role supports Construction Managers and contributes to a positive customer experience by ensuring accurate documentation, timely communication, and efficient coordination among internal teams, vendors, and customers.

Roles and Responsibilities:
  • Provide day-to-day project coordination and administrative support to sales teams, project managers, and department leadership.
  • Open and set up new construction projects; create and maintain accurate and organized job files from initiation through closeout.
  • Track and update project progress, including job costing, billing schedules, and overall project status.
  • Coordinate with vendors and suppliers on equipment quotes, purchase orders, order processing, delivery scheduling, freight tracking, and material logistics.
  • Create, manage, and track purchase orders for subcontractors, equipment, and materials; work with Accounts Payable to resolve discrepancies and PO-related issues.
  • Process and review invoices, lien waivers, and contract billing documentation including AIA and T&M billings.
  • Support Accounts Receivable by assisting with collections, monitoring outstanding balances, and responding to customer invoice requests.
  • Track warranty periods for equipment and projects; coordinate warranty claims, invoicing, and replacement part orders.
  • Enter and reconcile daily labor, material, and time ticket data; ensure accuracy with field technician timesheets and job costing systems.
  • Prepare and submit project-related documentation including permits, inspections, pre-qualifications, and closeout materials such as O&M manuals.
  • Maintain compliance by ordering certificates of insurance and tracking contractor licenses and renewals.
  • Assist with onboarding new vendors, suppliers, subcontractors and customers by setting up required documentation and records.
  • Support Estimating and Sales Teams by assisting with bid preparation, quotes, change orders, and distributing weekly bid reports.
  • Maintain internal tracking systems including bid trackers, job logs, load lists, and project reporting tools with accurate and current information.
  • Participate in construction meetings, job cost reviews, WIP meetings, and collections meetings; document and distribute meeting notes as needed.
  • Assist with inventory material requests and returns, as well as billing for small equipment sales and bid jobs.
  • Provide general clerical and administrative support, including phone coverage as needed.
  • Other duties as assigned by manager.

Minimum Requirements:
  • 2-year accounting degree or equivalent experience in construction coordination, project administration, or a related role preferred.
  • Familiarity with construction processes, billing (AIA/T&M), and job costing principles.
  • Excellent organizational skills with attention to detail and accuracy.
  • Ability to manage multiple projects and deadlines in a fast-paced environment.
  • Proficient in Microsoft Office (Word, Excel, Outlook) and project/accounting software systems.
  • The ability to operate office equipment sufficiently to perform the job.
  • Strong communication and problem-solving skills.

Preferred Qualifications:
  • Working knowledge of Jonas, Smartsheet, Procore, Textura (for project billings), GCPay, and DocuSign.

Physical Requirements:
  • Ability to sit for extended periods while working at a computer.
  • Ability to use standard office equipment, including computers, phones, and printers.
  • Ability to communicate effectively, both verbally and in writing.
  • Ability to occasionally stand, walk, bend, and reach.
