POSITION SUMMARY: The Onboarding Specialist plays a critical role in ensuring a smooth and engaging transition for new hires. This position is responsible for coordinating and delivering onboarding programs that align with organizational goals, compliance requirements, and operational excellence. The Onboarding Specialist partners with Operations Training, HR, Talent Development, and business leaders to create a positive first impression and foster long-term employee success. Additionally, this role ensures employees have the tools, resources, and training needed to succeed in their roles.

ESSENTIAL FUNCTIONS:



  1. Coordinates onboarding programs for Property Management new hires, ensuring a structured and consistent onboarding experience.
  2. Collaborates with Human Resources on preboarding activities, HRIS integration, and completion of required documentation and compliance training, including Fair Housing, Harassment Prevention, and Safety.
  3. Delivers virtual and/or inperson orientation sessions aligned with company culture, policies, and regulatory requirements.
  4. Designs, updates, and maintains onboarding schedules, materials, learning paths, and resources to support new hire readiness.
  5. Partners with the Lead Onboarding Specialist and hiring managers to customize onboarding plans based on role requirements, workforce needs, and evolving business priorities.
  6. Oversees course enrollment, progression, and completion within the Learning Management System (LMS), including followup on overdue or incomplete training.
  7. Serves as a primary point of contact for new hires throughout the onboarding period, providing guidance, clarification, and ongoing support.
  8. Ensures new employees have timely access to required tools, systems, credentials, and jobspecific resources by coordinating with IT and department leaders and resolving access issues efficiently.
  9. Provides instruction and support related to system usage, technology tools, and locating rolespecific resources.
  10. Fosters a welcoming and inclusive onboarding experience that reflects company values, supports engagement and retention during the first 90 days, and includes 30, 60, and 90day checkins or surveys. Partners with HR Onboarding Specialists and HR Business Partners to identify trends and address early performance or engagement concerns.
  11. Evaluates onboarding effectiveness by tracking completion rates, analyzing data and feedback, reporting progress to business leaders, and recommending continuous improvements. Supports additional initiatives and projects as assigned, including system enhancements, property takeovers, acquisitions, or portfolio expansions requiring onboarding support.


QUALIFICATIONS: (Knowledge, Skills, Abilities, Education, Training and Experience.)



  • Bachelor's degree in Human Resources, Business, or a related field; or an equivalent combination of education and experience.
  • Minimum of two (2) years of experience in onboarding, talent development, training, or Human Resources.
  • Minimum of two (2) years of experience in property management.
  • Proficiency in Microsoft Office applications, including Word, Excel, Outlook, Teams, and SharePoint; familiarity with Learning Management Systems required (Yardi Aspire experience preferred).
  • Strong organizational, verbal, and written communication skills, including facilitation and presentation abilities.
  • Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
