Overview

What You Will Do

As an Onboarding Specialist, you will own the onboarding process from offer acceptance through Day 1 readiness, ensuring a seamless and consistent experience for both new hires and internal teams. This role is responsible for coordinating onboarding logistics, managing communication with new hires and internal stakeholders, and ensuring all pre-employment requirements are completed accurately and on time. This role regularly communicates with a diverse and bilingual workforce, requiring clear and effective communication in both English and Spanish.

A Typical Day at Prime Controls

    Send onboarding communications to new hires, including background check, drug screen, and new hire paperwork instructions
  • Create and distribute new hire rosters to HR, IT, Facilities, Payroll, and hiring managers
  • Coordinate onboarding schedules and ensure all new hires are assigned to the appropriate orientation sessions
  • Follow up with new hires to confirm completion of pre-employment requirements and Day 1 readiness
  • Conduct Day 1 check-ins to confirm successful start and resolve any issues
  • Partner with Recruiting to ensure a smooth handoff from candidate to employee
  • Collaborate with HR, IT, and Facilities to ensure new hires have proper access, equipment, and workspace
  • Maintain onboarding trackers and ensure accuracy of employee data in HR systems
  • Support continuous improvement of onboarding processes and communication

What You Will Bring

The Basic

  • 2+ years of experience in HR, onboarding, recruiting coordination, or administrative support
  • Strong organizational skills with the ability to manage multiple onboarding groups at once
  • High attention to detail and accuracy
  • Strong written and verbal communication skills
  • Ability to work in a fast-paced, high-volume environment
  • Proficiency in Microsoft Office and general HR systems
  • Bilingual in English and Spanish (verbal and written)

The Preferred

  • Bachelor's degree in Human Resources, Business Administration, or related field
  • Experience with HRIS or onboarding systems (e.g., ADP, Paylocity, or similar)
  • Experience supporting onboarding in a construction, engineering, or field-based environment
  • Experience coordinating or supporting orientation sessions
