Job Summary

The Procurement Operations Coordinator supports daily purchasing, inventory, and vendor management activities to ensure the timely and accurate flow of goods. This role is responsible for maintaining system data, coordinating with vendors and internal teams, and supporting order and inventory processes across the organization.
Key Responsibilities
  • Communicate with vendors to obtain shipment status, ETAs, tracking details, and resolve past-due items.
  • Confirm and adjust purchase orders (POs), including additions, deletions, and updates.
  • Ensure past-due purchase orders are updated with accurate future receipt dates.
  • Assist with entering and submitting purchase orders.
  • Maintain and update ETAs in AS400.
  • Enter Advanced Shipping Notices (ASNs) and ensure accuracy of shipment data.
  • Upload shipping documentation into JIMS.
  • Perform data maintenance including master pack quantities, discontinued items, pricing updates, and shipment delays.
  • Collaborate with warehouse teams to resolve past-due items and inventory discrepancies (overages/shortages).
  • Enter and process inter-network transfer orders.
  • Respond to requests from Customer Fulfillment and warehouse teams.
  • Generate and distribute weekly ETA reports for E-Commerce, Dealer, Premium, and Home Comfort divisions.
Future/Expanded Responsibilities
  • Support Stock IQ and inventory optimization processes.
  • Validate lead times and perform buyer validation checks.
  • Monitor negative on-hand inventory, abnormal weight, and cost discrepancies.
  • Maintain order policies, MOQ, case pack data, and held inventory for discontinued items.
  • Review backorders with negative margins and monitor aged sales orders.
Qualifications
  • Experience working with ERP systems (AS400 or similar preferred).
  • Proficiency in Microsoft Excel, including analyzing large datasets.
  • Strong vendor communication and relationship management skills.
  • Working knowledge of logistics, supply chain, or inventory operations.
  • Experience analyzing large datasets to identify trends and discrepancies.
  • Strong attention to detail and organizational skills.
  • Ability to manage multiple priorities in a fast-paced environment.
