POSITION OVERVIEW AND PRIMARY DUTIES AND RESPONSIBILITIES (ESSENTIAL FUNCTIONS):

Alutiiq Operations Services, LLC has an exciting opportunity for an Administrative Assistant supporting Tinker Air Force Base located in Oklahoma City, OK. The Administrative Assistant provides critical administrative support to the TInker Air Force Base Operations Support Services (BOSS) contract. This position assists functional departments (such as facilities management, logistics, housing, environmental, or civil engineering) in maintaining documentation, scheduling meetings, managing communication, and supporting compliance with performance work statement (PWS) requirements. The role requires familiarity with military administrative procedures and strong attention to detail.



  • Provides administrative and clerical support to BOSS department managers and support staff.
  • Maintains accurate and organized records in accordance with the Performance Work Statement (PWS) and Air Force guidelines.
  • Supports the preparation and submission of contract deliverables and reports (e.g., monthly status reports, safety reports, quality control documentation).
  • On site HR representative assisting with onboarding new employees and uploading I9 paperwork.
  • Posts vacancy requisitions and coordinates with shops IAW union Consolidated Bargaining Agreement (CBA).
  • Tracks union seniority by craft and provides listing to supervisors and union personnel monthly.
  • Initiates paperwork in government systems for CAC cards and contractor badges.
  • Initiates paperwork for restricted area badges and background checks dealing with government security manager.
  • Provides resumes from Alutiiq hiring portal and schedules interviews for all supervisors.
  • Participates in all hiring interviews, collects scoring sheets, and provides them to recruiting.
  • Develops entry authorization lists and vehicle authorization lists as needed.
  • Develops photo authorization letters for project personnel.
  • Checks and collects mail at both base post offices and sends out mail as needed.
  • Prepares Purchase Requisitions for office supplies in company systems.
  • Schedules and coordinates meetings, briefings, inspections, and site visits for government and contractor personnel.
  • Prepares meeting agendas, takes minutes, and distributes documentation.
  • Tracks and updates task orders, work requests, and customer service calls using government or contractor-provided systems.
  • Interfaces with government customers, subcontractors, and vendors professionally and efficiently.
  • Assists with timekeeping, payroll documentation, and training records if required by the PWS.
  • Orders office supplies, maintains inventory, and supports logistical arrangements for department operations.
  • Ensures compliance with security, safety, and operational procedures specific to Air Force base regulations.

REQUIRED QUALIFICATIONS AND EXPERIENCE:

  • High school diploma or equivalent; associate degree preferred.
  • Minimum 2 years of administrative experience, ideally in a military, government, or contracting environment.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Great customer service etiquette and interpersonal skills.
  • Proficiency in writing and ability to assist those needing assistance with background paperwork for various government requirements.
  • Experience with DoD or Air Force administrative protocols is strongly preferred.
  • Ability to obtain and maintain base access and any required security clearances.
  • Strong organizational and communication skills, with the ability to manage multiple priorities in a fast-paced environment.


Pay rate: $27.32 per hour
