Position Summary

The Program Representative (Public Education Specialist II) provides high-quality administrative, logistical, and operational support for UCLA Extension academic programs. Working under the supervision of a Program Manager, this role ensures efficient coordination of course logistics, instructor support, and cross-functional communication. The Program Representative collaborates closely with Enrollment Management and the Center for Academic Advising and Student Success to support accurate program information flow and effective service delivery. This position supports portfolio operations and may assume delegated responsibilities to ensure continuity of service during Manager absences.

Actual salary offers consider factors, including budget, prior experience, skills, knowledge, abilities, education, licensure and certifications, and other business considerations. Qualifications

  • 1-2 years Experience providing administrative or program coordination support, preferably in higher education. (Required)

  • Ability to independently set priorities and organize workflow, determine and meet reasonable deadlines, and proactively adjust deadlines where appropriate and practical. (Required)
  • Communication skills sufficient to be assertive, courteous, objective and diplomatic under difficult circumstances. (Required)
  • Ability to speak effectively on a one-to-one basis and to groups, using appropriate vocabulary and grammar to obtain information, explain procedures and make presentations. (Required)
  • Ability and willingness to provide excellent internal and external customer service with attention to promptness and a focus on solutions; commitment to treating others with fairness, dignity and respect. (Required)
  • Superior writing and editing skills to compose and edit correspondence, promotional copy, and reports in a clear and concise manner, using proper syntax and grammar. (Required)
  • Ability to provide guidance and support to colleagues and follow up on progress in a timely manner. (Required)
  • Working knowledge of Microsoft applications sufficient to prepare correspondence, reports and spreadsheets. (Required)
  • Ability to make independent and appropriate decisions, and discernment in determining when involvement is necessary by immediate supervisor. (Required)
  • Math and budgetary skills sufficient to monitor program expenses and prepare course budgets. (Required)
  • Ability to travel to off-site locations to attend opening of classes, open houses, and other program related events using own insured vehicle. (Preferred)
