You Are:

A high-potential Executive Assistant to support the President and help orchestrate a fast-moving executive agenda. You are someone who thrives in high-growth, high-accountability environments and brings strong execution, sound judgment, and a service-oriented mindset to supporting a senior leader.

In the first phase, the role will be primarily executional and administrative, with a strong focus on calendar management, travel, logistics, coordination, and follow-through. Over time, and with demonstrated success, the role offers a clear path to broader exposure and more strategic support responsibilities, including deeper involvement in key internal and external engagements over approximately two years

The Opportunity:

  • Manage the President's complex calendar across time zones, proactively prioritizing meetings, resolving conflicts, and protecting focus time.
  • Coordinate internal and external meetings, including scheduling, agendas, materials, room or virtual setup, and follow-up actions.
  • Plan and manage domestic and international travel end to end, including itinerary management and real-time adjustments when plans change.
  • Process and track expenses, reimbursements, and other administrative items accurately and on time.
  • Serve as a reliable point of contact for internal leaders and teams, helping ensure smooth information flow into and out of the President's office.
  • Maintain organized systems for documents, priorities, action items, and meeting preparation.
  • Support leadership meetings, offsites, and internal events through strong logistical planning and coordination.
  • Help prepare for important corporate and client engagements by coordinating materials, logistics, and follow-through.
  • Interact professionally with senior stakeholders, including top clients and other external contacts, while handling sensitive information with discretion and sound judgment.
  • Provide occasional after-hours support for urgent travel changes, critical scheduling adjustments, or time-sensitive requests across time zones

What you need:

  • At least 5 years of experience in an Executive Assistant or similar role supporting senior leaders, ideally in startup, scale-up, or other high-growth environments.
  • Strong executional discipline, with the ability to manage multiple priorities, stay ahead of details, and deliver consistently high-quality work.
  • Professional, polished, and confident in working with senior stakeholders and supporting high-visibility engagements.
  • Proactive and resourceful, with the ability to anticipate needs, identify issues early, and drive closure.
  • Strong written and verbal communication skills, with careful attention to detail.
  • Comfortable using modern productivity and collaboration tools such as Microsoft 365 or Google Workspace; experience using AI tools to improve efficiency is a plus.
  • High integrity, maturity, discretion, and judgment in handling confidential information.
